CFSI is seeking an Associate, Events who can manage smaller events with minimal supervision, including managing session owners and speakers and executing on event deliverables. We need an executor with a high attention to detail that knows how the small relates to the whole and a hard-working coordinator who rolls up their sleeves and gets the job done. This person should be an excellent and tactful communicator, especially across teams and with new people.

LOCATION

This role will be based in CFSI's Chicago office.

DUTIES & RESPONSIBILITIES

  • Ensure superior attendee experience for all events by constantly maintaining guest focus while driving improvement and satisfaction.

  • Support the Manager, Events in coordinating all event-related logistics and operations support for CFSI events. Responsibilities include, but are not limited to, communicating and managing audio visual, destination management, and transportation vendors.

  • Assist with the day-to-day execution of an event that represents the CFSI brand; setting and evaluating event goals and metrics, and integrating data from surveys.

  • Recommend vendors such as AV and transportation and assist with marketing collateral, and catering. Onsite event lead for smaller events including hotel and all additional vendors.

  • Ensure all required permissions are known to leverage recorded content, pictures or the speaker presentation material. Ensure the status is communicated to all internal stakeholders regularly.

  • Assist in the execution of attendee and sponsor deliverables for events including; collateral and material development, marketing, recruitment, sponsorship, etc.

  • Effectively manage and build solid relationships with vendor partners, and relay and manage budget needs for event-related logistics. 

  • Oversee all logistical needs for CFSI staff for all events, and maintain timely follow up throughout planning process, especially post event.

  • Coordinate and communicate with the staff for all events including: session monitoring, Q&As, app development, and assist with the run of show.

  • Maintain metrics, reports, process documentation.

  • Oversee, coordinate and work with team members, internal departments and external vendors to make certain that all contracted services are provided and executed successfully.

  • Reconcile invoices and budgets and work with the project lead to ensure all expenses are reconciled and forecasted monthly; work to meet financial objectives to deliver on time and on budget.

  • Evaluate new trends and processes for logistics.

  • Work to develop your skills to understand the production requirements of our events programs.

QUALIFICATIONS

  • Engagement and effective management of speakers

  • Exceptional event management efficiency

  • Effective at building and maintaining relationships with internal and external clients. Ability to partner with event staff, venues, 3rd party suppliers, external speaker agencies, legal and procurement

  • Project and budget management experience and expertise; experience tracking and reporting

  • 2-5 years experience planning and coordinating event logistics and production

  • Excellent organizational skills, attention to detail with the ability to prioritize numerous projects at once; multi-task and work in a quick changing environment with an ability to work well under pressure and meet deadlines. Ability to track and report back progress.

  • Exceptional customer service skills.

  • Must be self-motivated self-starter, articulate, creative, and possess excellent verbal and written communications skills. Effectively collaborate with colleagues nationally.

  • Confident and facile with all types of technology, well-versed in Apple, Android, PC, and Mac products, experience in Adobe or Wordpress a plus. Tech savvy with an eye for new technology to enhance customer experience and/or improve efficiencies and effectiveness.

  • Ability to travel up to 20% of the time.

EDUCATION

Bachelor’s degree with focus on events and/or marketing preferred.
