We are looking for an Executive Assistant to join our team in Chicago. In this role, you will support the CEO and COO while also having a larger scope of responsibilities within the Accounting department.  This role will be a “jack-of-all-trades” position with high exposure to all members of the executive team. To be successful in this role, you will understand the demands of, and be adaptable to, a fast-paced, high-growth environment. No task is too big or too small!

RESPONSIBILITIES:

  • Provide administrative support to our CEO and COO including calendar management and travel arrangements

  • Assist in planning and executing company meetings and events  

  • Arrange and coordinate onsite and offsite meetings, as needed

  • Ensure accounts payables are entered, recorded and paid in a timely manner

  • Manage and prepare bi-weekly payroll

  • Handle contract management including a variety of agreements and corporate documents

  • Administer the company’s stock option and 401(k) programs

  • Contribute to the company culture with an outgoing, fun and positive attitude

  • Assist with other tasks that may come up out of direct scope of responsibilities  


REQUIREMENTS:

  • Previous experience providing administrative support at the executive level

  • Comfortable with ambiguity and shifting priorities that accompany a growth-stage technology company

  • Accounting experience, preferred

  • Above average organizational skills with a keen eye for detail

  • Exceptional judgment, time management, multi-project management and overall task prioritization

  • Aptitude for learning new skills quickly

  • Highly responsive and able to act with a sense of urgency

  • Strong technical acumen

  • Experience in billing and accounts payable

  • Strong quantitative and analytical skills

  • Expert level proficiency with G Suite and Microsoft Office

Location

We became a distributed workforce in March 2020 as a result of Covid-19 and will remain distributed moving forward. Our Chicago HQ still remains but we want our team to have flexibility around when and where they work.
