What we need
We are seeking a detail-oriented person with a passion for learning new technology and providing high-quality client service to join our Legal Configuration Team as a Legal Document Configuration Specialist. In this position, you'll use your skills to customize our clients' experience by setting up default letterhead and court caption document templates for our law firms. Law firms use Smokeball's default letterheads and court captions many times each day to create letters and court forms.
A day in the life:

  • Establishing positive relationships with clients in order to understand their needs, assess their requests, and communicate potential changes.
  • Automating and uploading default Court Caption and Letterhead templates to law firms' accounts, using Zendesk and JIRA to manage your workflow and keep colleagues informed on the status of work.
  • Troubleshoot and repair issues with law firms' existing Court Captions and Letterheads.
  • Identify strategic opportunities to improve Smokeball's process related to Court Captions and Letterheads, and work with your manager to constantly improve Smokeball's delivery and maintenance of these key document templates.
  • Learning new product developments and proprietary tools that our team will utilize to further customize our clients' usage of our software.
  • Assist the Legal Configuration Team with other projects and work related to document automation as needed.


What you bring

  • Demonstrated ability to work independently while also collaborating with team members when necessary
  • Excellent attention to detail, prioritization skills, and organizational skills
  • Critical thinking and troubleshooting skills
  • Experience learning technically complex software
  • Expertise with Microsoft Word
  • Excellent written and verbal communication skills
  • Proactive mindset; looks to find solutions to problems instead of just reacting to them
  • The following experience is a plus, but not required:
    • Knowledge of Visual Basic programming language
    • Experience working in a law firm for 1+ year in the areas of Business, Civil Litigation, Estate Planning, Family, Guardianship, Personal Injury, Probate, Real Estate, or Workers' Compensation
    • Experience drafting documents for law firms, such as letters, pleadings, and motions
    • Skilled at researching legal issues and preparing legal documents, including pleadings, letters, and Court/Authority forms
    • Proficiency with or exposure to one or more of the following document automation tools: Hot Docs, Active Docs, Exari, iManage, Pathagoras, Pro Docs, The Form Tool, The Form Builder

Jeff: Hi, I'm Jeff! I am the Legal Configuration Coordinator. I have been at Smokeball for a little over three years now. I love being at a company where law and tech collide. There is always something new to investigate and learn at Smokeball. One thing that I really treasure at Smokeball is teamwork. Each person uses their skill sets and insight to create a unique product experience for our clients. With Smokeball providing a great work-life balance, outside of work, I enjoy reading (my favorite genres: Fiction, Memoirs, and History), watching films (I am starting to dive into making film critic reviews), spending time with friends, and finally getting back to traveling again.
Eric: Hey there, I'm Eric! I have been with Smokeball for almost three years, and my current role is Legal Configuration Specialist. My favorite part about being at Smokeball is the blend of teamwork and independence. I have colleagues that I can depend on for support, but I also feel I own my own work product. This gives me more pride in my job and how I contribute to the overall business. Also, working in a tech environment provides a much better work culture than others that I've experienced in the past.
