We currently have an excellent opportunity for a Delivery and Operations Administrator.

The mission of the Delivery & Operations Administrator is to implement, orchestrate, and evolve a series of tools and procedures that help the organization achieve optimal capacity planning, revenue/budget tracking, and project status reporting.

A successful delivery operation administrator will be someone who is a good communicator and listener, well organized, detail oriented, inquisitive, and helpful to others on the team. They should be able to learn new things, be adept at utilizing technology (e.g. spreadsheets, wiki, etc.), be focused on quick results, and be able to understand (learn) the operational administrative needs of the delivery organization and make recommendation for improvements. They will help the organization improve by looking at what organizations similar to ours do in managing budgets, status reporting, revenue projects, and making recommendation for improvement.

Duties and Responsibilities

Collaboration Tools

  • Actively provide subject matter expertise (training, recommendations, tips and tricks, updates on new features) to team members.
  • Support, configure, and enhance the team's collaboration tools (e.g. JIRA, Confluence, Slack, Hangouts, etc).
  • Assist with the integration of new tools (e.g. Tempo) to improve the organizations effectiveness.
Budgets
  • Assists the Agile Project Managers (APM) and Agile Product Owners (APO) with budget tracking for projects.
  • Develops a common framework, format and toolset for doing this. Ensure everyone is trained up and is using the common tools.
  • Help with revenue monthly projections. Investigates and recommends ways for improving both processes and tools.
Time reporting
  • Actively participate in improving and simplifying our time entry and track procedures.
  • On a daily basis, check to see who hasn't entered time for the previous day and ask them to do so. 
Invoicing
  • Ensures all data is available in timeframe expected for generating monthly invoices.
  • To the extent possible, assists the APMs and APOs with preparation and approval of invoices so they are distributed within the target timeframe.
Capacity planning & portfolio management
  • Assist with the development of tools to visualize team member availability and utilization.
  • Assist with the development of tools to visualize and manage our project portfolio.
Dashboards

  • Assists in design and implementation of project dashboards.
  • Ensure project dashboards are kept current and looks for ways to improve the richness of their content.
Education and Experience Requirements:

Familiarity or experience with:

  • Agile
  • A professional services organization
  • JIRA or other agile project management tools
  • Confluence or other wikis
  • Projector or other time tracking and forecasting tools
  • Google Sheets or Excel pivot tables
  • Google Sheets or Excel macros
  • Budgeting and revenue projections
  • Training others
  • DevOps (e.g. setting up Jenkins or automated testing tools)
