Delivery Operations Coordinator
Crafty is a full-service kitchen, kegerator, and events partner for offices.
When we first launched on December 1, 2015, our business was a craft beer marketplace that delivered delicious, small-batch local craft beers to offices throughout the city. Crafty soon evolved into a full-service kitchen, bar, and events partner for offices in Chicago. Some of our biggest name customers are Google, Uber, Yelp, Salesforce, Trunk Club, WeWork, and Coyote Logistics!
From hot coffee to cold brew coffee, from kegs of craft beer to bottles of Bud Light, from LaCroix to Coke Zero, from Fritos to Skinny Pop, from coffee cups to plastic silverware, and from kitchen operators to bartenders, we offer everything an office kitchen, bar or event would need!
Unrivaled customer service is what we always aim for. One of the mechanisms for that is our delivery operations and logistics. We currently employ multiple full-time delivery specialists who service our customers daily across the Chicago Loop area. Each with a Crafty vehicle (trucks and transits) comes to the warehouse, loads their deliveries for the day, and goes into the city to give our clients the best service possible!
One of the most crucial parts of that operation is fleet management. The DOC runs the daily operations and leads the delivery team from check-in to check-out. They are the “eyes-in-the-sky” for the Crafty Delivery Specialists and are there to make sure we are supporting our delivery specialists and interfacing with our clients to bring them the best possible service.
Our Crafty Delivery Operations Coordinator (DOC) leads three primary activities:
(1) Route Creation, Management, and Dispatch: Every day we have a series of orders that are placed in the system. One of the Delivery Operations Coordinator’s daily responsibilities is to build out the route to satisfy the needs of our customers while optimizing for time. Prior to truck-loading time, the DOC checks through the BOLs (virtually) to make sure everything is on the truck. That leads to the FM managing the routes and tracking the drivers to understand how they’re progressing. All the while, they’re communicating with the drivers to make sure any and all needs / questions are taken care of!
(2) Customer / Crafty Care Liaising: Throughout the day, our customers contact our Crafty Care line (Customer Support) to make edits to their orders, add special instructions, etc. These need to be communicated to the delivery specialists to make sure that they fulfill the last minute requests! Vice versa - our delivery specialists will communicate learnings from the customers, or updates that need to be communicated to our CraftyCare team to place in our system.
(3) Delivery Specialist Onboarding: Codifying our delivery / logistics processes is a top priority. A side project of this role will be to codify the delivery handbook, and build out a true onboarding program for new delivery specialists.
Job Description:
Crafty’s Delivery Operations Coordinator is the conductor of our delivery orchestra. They are the bright energy that greets our delivery team in the morning, supports them throughout the day, and makes sure they’re given all the resources for success with our clients! It is a high energy role for people who derive positive energy from working with people.
The Delivery Operations Coordinator can expect a 40-50 hour week, with an earlier start (~6:00AM-6:30AM). Our delivery days start around 6AM:
- Communications with our warehouse to make sure everything is pulled correctly for each order
- Check-ins with each driver to make sure they have all of their customer notes
- Last minute changes on orders
Once they get ready to leave the warehouse, it’s all about tracking and rolling with the punches! Once they’re on their way back to the warehouse, it’s the classic checkout!
- Making sure everything was loaded off the truck
- Checking to see how the day went - any notes on customers or things out of the blue!

- Check in regularly and field any calls about dock entrances, edits on orders, timing
- Make sure to check-in with customers on any timing changes that may be occurring
Experience:
- Customer Service: solving customer challenges on the spot with the end goal of solving for their happiness!
- Multi-tasking: dealing with unpredictable requests from customers and the team
- Prioritization: executing and delegating short-term tasks that require quick turnaround while also progressing on long-term projects
- Fleet management: prior experience in managing logistics in some form is a plus!

After graduating Northwestern University and working in the corporate world for a couple years, our Crafty founding team observed something curious: office managers have a really difficult job. They are responsible for getting drink and snacks for the entire office, and they usually don’t have a lot of help. They are the unsung heroes of the office: when things go well, people rarely say a word, and when things go wrong, they hear the complaints.
So, we set out to help office managers, and we started with organizing happy hours. Happy hours are often difficult to organize, especially if a kegerator is involved. Kegerators require technical know-how to fix and service regularly. Most office managers aren’t kegerator
technicians - so it’s tough to manage the equipment.
We started with offering alcohol, kegerator, and bartending services for offices. We adapted to what our offices needed - starting with just craft beer kegs, quickly expanding to bottles, domestic beers, wines, spirits, and full bartending and event packages!
Once we began providing reliable service to our customers, they starting asking us for more: “Do you guys do hot coffee as well?”, and “Can you guys provide snacks, sodas, and paper goods?” We always say “Yes!”, and then figure out exactly how to do that effectively.
Currently, Crafty’s three main product lines are:
The Kitchen: snacks, coffee, non-alcoholic beverages
The Bar: alcohol (either cases or on tap)
The Events: event management, bartenders
The Kitchen: we build out bespoke programs for each customer, based on the needs of their office, the size of their office, and their culture. With the wave of wellness both in and out of the workplace, we’ve found that our niche of ‘local and healthy’ has allowed to us to gain a fast following.
a. We build out snack programs specifically for offices with an emphasis on local and healthy snacks. We do provide access to just about everything, but we have found that by curating the process, we’re able to provide an even better experience. We deliver to the customer as needed, and actually will have account managers own a certain part of the Chicagoland area to stop in every other day to do light inventory checking. For this program - we provide everything: the dispensers, the baskets, everything.
b. For coffee services, we are partnered with Limitless Coffee & Tea to bring the most delicious, and cleanest beans to offices around the city. Along with supplying beans / grounds - we also provide all coffee equipment needed.
c. For non-alcoholic beverages - we provide everything from Coke, Sprite, to Honest Tea, to Excel Bottling company and LaCroix.
The Bar: we offer offices free draft equipment (kegerators, dual-tap) where all they do is purchase the draft product - beer, wine, kombucha, tea, and cold brew. We also supply bottles of beer, wine, and spirits to fill out the entire bar at an office. For the draft equipment, we make it easy: all you do is go on the website and order whatever kegs you want. We’ll come in and tap it for you and take the previous empty kegs. We want to make it easy to have the coolest office on the block!
The Events: our events division allows us to build bespoke events for each customer tha has a shabang coming up! Our Crafty trained bartenders, and also trained event managers run our events from end-to-end. We’re the office manager’s right hand person for all things events - they tell us how long the event is, the description of it, and we plan it from A to Z (including set up and takedown).
We are currently serving 225 offices in the Chicago market, most of which use Crafty for our happy hour and kegerator services. Our next phase of growth here in Chicago is our Crafty Kitchen Program. We have a group of 10 clients in our Crafty Kitchen Program, and we are gearing up to scale this program to many of our other customers.
