What you'll do:

The Event, Travel and Logistics Coordinator is responsible for flawless execution of all events, travel/transportation and miscellaneous office logistics for the CEO. This Assistant will wear a different hat project-to-project, and often at the same time. He/She could be developing flight manifests, planning a dinner celebration, arranging ground transportation, scheduling a security advance, or preparing a logistical brief for a speaking engagement. This Assistant will be responsible for clearly communicating plans and changes to all stakeholders involved which include, but are not limited to, the CEO, the Chief of Staff, the Office of the CEO, and personal/business contacts.

Responsibilities: 

Events and Special Projects:

  • Plan and manage all business-related leadership dinners/lunches/convenings
  • Plan and manage personal engagements and events
  • Plan and manage attendees of special events: Chicago Ideas events, birthday parties, special occasions, celebrations (business and personal), holiday parties; sometimes at a scale of 1000+ attendees
  • Participate in speaking engagement prep calls and work with internal PR/Comms to ensure speaking checklist is complete for CEO readiness

Logistics and Travel:

  • Manage all Chicago Ideas logistics for the CEO and the Chief of Staff
  • Attend Chicago Ideas programming meetings to maintain a strong understanding of CEO obligations related to Chicago Ideas, preparation needed for readiness, and logistics (with security support)
  • Coordinate all business and personal travel from end-to-end
  • Arrange security support for the CEO
  • Provide overall logistical support and coverage as needed
  • Conduct logistical diligence for events and travel w/input from security to guide decisions regarding movements
  • Support coordination for all personal logistics and travel

Micellaneous Office Tasks

  • Ensure all Executive spaces in the office are well-maintained, stocked, and organized, including order supplies
  • Ensure all technology is updated regularly and operating smoothly inside conference rooms used by the CEO
  • Handle incoming and outgoing mail and packages
  • Provide flexible and reliable support for the Office of the CEO by wearing many different hats on a daily basis

Qualifications:

  • B.S. in Management or related field
  • 2+ years administrative support, executive assistance and/or event/project management
  • Experience in a startup environment strongly preferred
  • Highly proficient in the Google suite (Gmail, Google docs, Calendar, etc)
  • Proficient in the Adobe suite
  • Proficient in all technical functions of an Executive Office (phone, VC, etc)
  • Obsessive level of attention to detail
  • Strong ability and willingness to work in a dedicated and expanded team environment
  • Creative and entrepreneurial attitude and approach towards event planning
  • Discretion and confidentiality
  • Excellent presentation skills
  • Full comprehension of office management systems and procedures
  • Exemplary planning and time management skills
  • Ability to multitask and prioritize daily workload
  • High level organizing, planning, oral, and written communications skills
  • Independent thinker and ability to self-manage
  • Willingness to be flexible and work well in a team

Location

We are located in River North just right off the Chicago Brown Line stop. We also provide you with a free shuttle service to/from Ogilvie and Union.
