Job Requirements:

  • Minimum of three years experience in a Facilities or Office Services role
  • Associates or Bachelors Degree in Facilities Management or related degree
  • Supervisory experience preferred
  • Experience working with contract maintenance
  • Ability to establish and maintain effective working relationships both within the facility and with externally contracted labor and services
  • Ability to exercise ingenuity and initiative in organizing activities within the facility
  • Ability to develop, implement and monitor long and short range plans for building maintenance, facility improvements, other related projects
  • Ability to communicate effectively, both verbally and in writing, with staff and other departments within the organization.
  • Ability to manage multiple responsibilities under tight timelines
  • Basic Computer Skills
Job Summary:
  • Performs/oversees all Offices Services duties to ensure the smooth operation of the Office Services/Facilities Department.Provide planning and supervision that will result in effective and efficient day-to-day operation of the Facilities Department.
  • With direction from the Facilities Manager, provide scheduling assistance and coordinates the actions of contractors with site administrators. Monitor performance, directs corrective actions and approve invoices. Assure that all schedules and deadlines are met.
  • Supervise team members; to coordinate office supplies orders, dock deliveries, mail sending/receiving, basic office repairs, and room setups.
  • Provide training, mentoring, performance improvement and career development to operations staff on the team. Accurately and effectively convey expectations and job duties to all direct reports. Ensure tasks are completed to the proper expectations.
  • Assist in ensuring a safe working environment throughout the facility for all employees.
  • Proactively seek out maintenance and/or efficiency for the facility. Collaborate with Facility Manager to coordinate any necessary maintenance/construction work.
  • Collaborate with multiple departments to coordinates space assignments and office moves.
  • Manage off-site storage units, including maintaining records of all items in storage and inventory of storage room keys.
  • Manage organization and inventory of all on-site storage rooms. Clean and organize as needed.
  • Obtain estimates and makes recommendations regarding procurement of outside suppliers and contractors as requested.
  • Assist Facilities Manager in coordinating emergency planning including (but not limited to): Fire Drills and Evacuation Plans.
  • Create all work orders for the facilities team. Assign work orders to appropriate team members and follow-up as needed until complete.
  • Supervise Day Porters, as well as communication with janitorial supervisors regarding nightly janitorial services.
  • Assist Facilities Manager with office build outs, construction and renovation as needed. Participate in planning meetings and coordinate corresponding tasks, as assigned by the Facilities Manager.
  • Provide exceptional customer service at all times to our internal as well as external customers
