Rise Interactive (http://www.riseinteractive.com), a rapidly growing full service interactive advertising agency, is looking to hire a Guest Relations Specialist. We are looking for a detail-oriented, highly motivated and tenacious individual that is excited about getting involved in an entrepreneurial company with an expanding Fortune 500 client base.

 

Summary and Scope

The Guest Relations Specialist provides administrative support to the Rise Interactive team. Guest Relations Coordinator is the logistics manager, the answer supplier, and the go-to person who knows how to get things done and gets them done. You become the first point of contact into our workplace. We're looking for someone who will enhance the customer experience (whether they be partners, prospects, actual customers, vendors, or tourists...yes, we do give tours of our offices). We need someone who is super cheerful, super helpful and makes customers happy to do business with us. Work assignments are complex in nature, where considerable judgment, tact, creativity and initiative are required.

Responsibilities:

     Reception

  • Welcome on-site visitors, determine nature of business and announce visitors to appropriate personnel or department.
  • Ensure guests have a great experience within the space, offer refreshments, reading material, and answer pertinent questions.
  • Maintain the accuracy and efficiency of the office IVR phone system.
  • Answer incoming telephone calls, determine the purpose of the call, and forward to appropriate personnel or department.
  • Retrieve messages from voicemail and forward to appropriate personnel.
  • Takes and delivers messages or transfers calls to voicemail when appropriate personnel are unavailable.
  • Receives, sorts, and routes mail and maintains office publications.  

   

      Office Management

  • Manage the inventory of both office supplies and sundries throughout the office.
  • Analyzes and organizes office operations and procedures such as information management, filing systems, requisition of supplies, and other clerical services.
  • Maintain the cleanliness of the kitchen and café; ensure that food and dishes are always put away.
  • Maximizes office productivity through proficient use of appropriate software applications.
  • Manage and develop vendor relationships with key operational vendors, i.e. Staples, Macke, Fuze, Time Off Manager, etc.
  • Coordinate office staff activities including Lunch and Learns, Monthly Meetings, Happy Hours, etc.
  • Formulates procedures for systematic retention, protection, retrieval, transfer and disposal of office records.
  • Plan and coordinate the logistics of special events, parties, and meetings which may include catering, talent, and venue selection.
  • Utilizes Microsoft and other software applications to develop reports, organize and maintain data, create presentations, and support miscellaneous projects.
  • Oversees and directs maintenance personnel and workers engaged in equipment installation, facilities equipment repair, and preventive maintenance.
