tronc is looking to hire a Human Resources Coordinator in our downtown Chicago office at historic Tribune Tower!

 

In this role, you'll be responsible for working with the HR team in order to provide general administrative and program support to various areas of Human Resources including Employment/Labor Relations, Talent Development & Acquisition, Benefits and Total Rewards. You will work under the direction of the Executive Director of Talent Engagement.

Responsibilities:
  • Serves as a main point of contact for new employees as they move through the onboarding process up to and including I-9 verification, first-day activities and badge requests
  • Responsible to oversee that all form I-9 verifications are compliant per the Form I-9 regulations
  • Handles unemployment claims for all IL locations and works closely with management/HR partner to complete.
  • advisor to employees, supervisors, and other external customers regarding company policies and HR guidelines
  • Assist Talent and Organizational Development team with Chicago new employee orientation by preparing packets, setting up conference room and facilitation( as needed)
  • Responsible for processing and uploading employee file documents to HRIS system, Workday
  • Assist HR team with preparing employee file requests, verification of employment letters and subpoena requests.
  • Serves as a liaison between other departments (i.e. payroll, benefits etc.) to answer employee and management questions. 
  • Ability to identify  process improvement  opportunities  in day to day HR related processes and practices
  • Serves as primary point of contact for all immigration questions and matters across the company relating to visa status requirements by working closely with management and immigration attorney’s in order to stay compliant
  • Collaborates with immigration attorney’s to process H1- B visas and  green cards for current employees that includes but not limited to ensuring  all information provided by the client is accurate and correct, preparing and checking all legal documents , maintaining all public access files and working with accounts payable and legal department to process payments for the appropriate parties.
  • Maintains visa employee spreadsheet for the purpose of monitoring expiring work authorization documentation and to notify the appropriate parties if additional steps need to occur (i.e. H1 B renewals, F-1 , amendments, transfers, etc.)
  • Responsible to oversee offsite storage requests to include but not limited to  boxing termed files, placing pick up/retrieval orders from vendor Iron mountain and maintain records for tracking purpose
  • Post all mandatory HR posters (i.e. Workers compensation, federal  law posters etc., benefits open enrollment)
  • Apply in-depth knowledge of key HR systems (e.g., Workday, Talentwise, TALX/Equifax, iCIMS, ) to accurately address and respond to inquiries and deliver communication materials or support
  • Run essential HR reports as needed
  • Order office supplies as needed
  • Other duties as assigned
Qualifications:
  • Bachelor’s degree in Human Resources or a related field
  • 1-2 years of Human Resources experience with focus on the above responsibilities
  • Proficient knowledge of employment, wage and hour, FMLA, ADA and EEO laws
  • Requires a customer focus and service attitude both toward internal client managers and to meet external/internal job applicants’ needs.
  • Must have experience in handling confidential information appropriately and take initiative to solve problems, maintain/improve processes, get answers to questions and maintain confidence in dealing with a variety of different parties.
  • Strong proficiency in Word, Excel, Outlook and Power Point; Visio a plus.
  • Experience in using HRIS systems preferred; Workday experience a plus
  • Strong oral/written communication skills.
