Our Story:

dscout began as an experiment by gravitytank, a Chicago-based innovation firm. Gravitytank has long been a pioneer in using new methods to conduct in-context research, and began experimenting with phones and apps as an alternate way to capture experiences. Gravitytank spun dscout out as a standalone service in 2011.

What we're looking for:

As dscout’s Office Manager, you will be our “Director of Fun.” You are the heart of the office, ensuring all operations and processes are running smoothly daily. You will also be the face-person for all clients and guests that enter our office. You will continuously seek new ways to support the dscout team, and play a critical role in ensuring employees are engaged, productive and happy. You will make a visible and immediate impact on a rapidly growing company by increasing employee satisfaction for 50+ team members and building an inclusive, productive and fun work environment. 

Responsibilities:

People -

  • Develop and support an awesome office culture that helps us hire and keep the best
  • Support recruiting efforts – schedule interviews, and help to manage the process
  • On-board and off-board all new hires that join the company; tour the office on first day, setup lunches for new hires when they arrive to meet team, provide keys, laptop, desk arrangement, etc.
  • Support core HR activities, working with the COO and Controller
  • Manage company events and activities and seek new ideas to enhance the office environment for dscout employees.

Place -

  • Help us through a currently-underway expansion
  • Be the “face” of dscout – greet people, talk to people, sometimes even answer the phones
  • Oversee all operational needs, including kitchen and office inventory, space planning, security, maintenance and deliveries—with an eye toward automation and efficiency
  • Procure any needed equipment for new hires and current employees
  • Manage the budget for all office supplies and events, and oversee and negotiate vendor contracts for supplies and services
  • Act as the point of contact for building property management; monitor and arrange for any facility repairs.

Process -

  • Support Controller in expense management for employees and several other financial processes
  • Assist dscout’s executive team with travel or expense reconciling
  • Drive the office’s IT processes.

In short, you would be dscout’s utility infielder—the glue that holds us all together.  You need to be high-energy, hungry, flexible, and fun.

Requirements:

  • You have 2+ years of experience managing an office, including overseeing large, multifaceted projects from conception through completion. Your positive attitude and ability to be flexible will enable you to easily adapt as plans change.
  • Exceptional communication and organizational skills
  • Understanding of when to manage problems and when to escalate them
  • Experience working with sensitive and confidential information
  • Customer service attitude with a focus on responsiveness
  • Experience using technology to improve efficiency and the ability to quickly learn new tools and technologies.
