Job Summary:

We at RedShelf were students not too long ago and started the company based on the idea that textbooks shouldn’t cost a fortune or weigh a ton. They should be affordable and easily accessible for everyone to use. Our top priority at RedShelf is to help transition the learning community from print to digital course materials and be advocates for students everywhere.

Over the past four years, RedShelf experienced 400% YOY growth, and we’re looking to add an ambitious and passionate Office Manager who can effectively and efficiently run operations within our Chicago based headquarters. The Office Manager is responsible for creating and maintaining a pleasant work environment, ensuring high level of organizational effectiveness, communication and office safety.

Duties & Responsibilities: 

Facilities and Administrative -

  • Serve as the point person for office manager duties to ensure a smooth functioning business (i.e. maintenance, mailing, supplies, equipment, bills, errands, office cleanliness and shopping)
  • Serve as primary contact for Office Property Management
  • Responsible for scheduling meetings, appointments and off-site planning logistics  
  • Maintain a pleasant office condition by arranging necessary replacement or repair of office equipment in a timely fashion
  • Establish and maintain relationships with vendors including cleaning, catering and security service, administrative support systems, while identify new vendors that meet company standards
  • Address employee’s queries regarding office management issues (i.e. stationery, hardware and travel arrangements)
  • Follow up on purchasing orders, procurement, and payment items while ensuring coordination of incoming and outgoing packages/mail
  • Execute Emergency Action Plan (EAP) and communicate with first responders in crisis situations
  • Oversee visitor management by greeting visitors, vendors and clients to ensure a positive office experience

Human Resource / Culture Engagement -

  • Partner with recruitment efforts such as sourcing, screening candidates and updating Applicant Tracking System (ATS)
  • Aid with on-boarding new employees
  • Coordinate interview efforts such as scheduling candidate interviews, coordinating interview rooms, assist with ensuring the candidate experience is positive  
  • Champion of employee engagement, assist with the establishment of engagement programs and culture initiatives (Happy hours, Game Nights, Birthday/Anniversary Club etc.)
  • Assist with creating and maintaining a positive social media presence for RedShelf to attract qualified candidates – i.e. blogging about RedShelf, participating in hiring and networking events
  • Perform additional duties as assigned by management

Requirements:

  • Three (3) plus years of administrative experience
  • Bachelor’s degree or equivalent years of experience
  • Possesses a positive, professional and “can do” attitude
  • Outstanding organizational skills, detailed oriented and a demonstrated ability to follow-through on projects
  • Able to multi-task and interact effectively in a team environment
  • Excellent verbal and written communication skills and ability to communicate effectively at all levels of the organization
  • Proficient computer skills in Google Apps and MS Office
  • Able to deal with ambiguity and re-prioritize tasks in response to unexpected changes
  • Solutions focused with an action-oriented approach
  • Other duties assigned by manager

Other desirable skills / experience:

  • Knowledge and appreciation of the advances in higher educational software, course materials, and digital publishing
  • Previous recruitment experience
  • Experience with applicant tracking systems (ATS) software 
  • Background and/or experience in educational technology and/or publishing
  • Comfort and/or experience in a start-up environment
