Full-time
An ideal candidate will be a strong self-starter, have effective time management skills, be efficient at prioritization, escalation, and delegation of activities. Excellent communication and interpersonal skills for dealing with many types of people at all levels in a direct and diplomatic way are essential. An understanding of customer/client requirements is also preferred.
Employee / Contractor Onboarding
- Co-create employee manual of company policies and procedures
- Co-create formal application review and interview process
- Co-create job openings with department leads
- Create and facilitate onboarding and offboarding process (first day, last day, required legal & financial documents, etc.)
- Get Employee / Contractor Agreements signed
- Train new employees on company policies (time entry, expenses, vacation, etc)
Culture
- Work with leadership to design quarterly and annual review process
- Facilitate annual review process
- Plan and coordinate quarterly and holiday parties
- Assist with organizing and running culture club meetings
- Facilitate communications to RW team members on upcoming cultural or networking events and opportunities in Chicago
Business Development Support
- Coordinate company events and conferences
- Coordinate proposal and SOW development
- Ensure project setup compliance (i.e. signatures on NDA, MSA, SOW)
- Set up projects in harvest (project staffing & mgmt tool)
- Ensure time cards submitted on time, weekly
- Produce, approve, and send invoices
- Coordinate travel for Rocket Wagon executives and client teams
- Submit, review, and/or request expenses, invoices, and payments
- Sort and distribute mail to appropriate department and/or individuals
- Keep kitchen and pantry stocked
- Assist with keeping office organized and presentable for client and partner meetings
