PURCHASING COORDINATOR

Responsibilities: The Purchasing Coordinator is responsible for strategic purchasing and project support, invoice maintenance, master data maintenance, execution of full purchasing lifecycle process, setup in Coupa/NetSuite, tool management and data support including the execution of related tasks.

Financial Pre-analysis

• Works collaboratively across organization to understand purchasing request requirements and ensure requests align with corporate purchasing policy.
• Secures and analyzes quotations, recommends suppliers with respect to cost, quality and delivery competitiveness for assigned responsibilities.
• Follow-up and resolution with all concerned entities, both vendor and internal parties.
• Processes purchase requisitions, purchase change orders and requests for quotes to suppliers.

Maintain purchasing data in Information Systems

• Request and validate price information from suppliers.
• Resolve invoice and payment discrepancies with internal stakeholders and suppliers.
• Maintain and upload documents into Purchasing Tools.
• Develop or contribute to the development of tools to improve efficiency and accuracy of these processes.

Manage Supplier information:

• Supplier data management - request, review and archive required supplier information
• RFQ data collection and loading
• Request, compile and maintain supplier scorecard data including environmental, social responsibility, innovation, service and quality requirements, and cost competitiveness.
• First point of contact to resolve delivery, payment, Coupa input and costing issues. Resolves invoice discrepancies with suppliers and interacts with Accounting as required.
• Able to independently problem solve and provide solution to stakeholders

Basic requirements

• Documented professional expertise in a purchasing or procurement role (strongly prefer candidates from tech industry or start-up environment.)
• Excellent verbal, written and public speaking skills. Able to interact externally with vendors as well as manage internal stakeholder experience
• Strong conflict resolution and problem solving skills.

Desired requirements

• Ability to be successful in a dynamic and ambiguous environment
• Strong business acumen and ability to demonstrate methodology driven decision making skills.
• Advanced business negotiating skills.

Education:

We prefer college-educated applicants, but at minimum, high school diploma or equivalent is required for employment.
