PRIMARY DUTIES AND RESPONSIBILITIES:

Key responsibilities include but aren’t limited to:

·          Coordinate and execute all speaking event and tradeshow activities to meet deadlines and budget constraints

·          Run pre-show planning meetings, create post-show reports and conduct post-event measurements and follow-ups

·          Serve as the point-of-contact, both internally and externally, for all event-related inquires

·          Manage the event calendar distribute as needed, including sending Outlook invites to speakers and exhibiting staff

·          Update, create and prepare standard operating procedures (SOPs) for common event activities

·          Develop variations of speaking proposal titles and descriptions to satisfy different application requirements

·          Order all speaking and exhibiting services, and coordinate shipping for all show materials to ensure their timely and cost-effective delivery

·          Provide administrative oversight of all event-obtained sales leads

·          Perform inventory checks of printed collateral, giveaways and display materials, and facilitate reprints, reorders and repairs as warranted

·          Research, evaluate and propose new exhibiting, speaking and event-related marketing opportunities

·          Work effectively and efficiently in an independent fashion, as well as within cross-functional teams that include company executives, to satisfy event program objectives

·          Assist with managing publication listings, memberships, subscriptions and media contact lists

·          Execute various other marketing-related projects on an as-needed basis

 

 

QUALIFICATIONS:

Minimum Skills & Qualifications

·          Bachelor's degree or equivalent experience

·          0-5 years of experience coordinating tradeshows, events or meetings

·          Demonstrated ability to work in an administrative capacity

·          Proven experience working against, and meeting, deadlines

·          Experience using Microsoft Office products (Outlook, Excel and Word)

·          Strong decision-making, critical thinking, multitasking, organizational and prioritization skills

·          Outstanding verbal and written communication skills, as well as customer service and interpersonal skills

·          Self-motivated, dependable and persistent

·          Capable of working independently as well as within in a team

·          Stress-tolerant, adaptable, cooperative and collaborative

·          Capable to assist with packing, carrying, and transporting show materials

·          Flexibility to travel 10% of the time

·          Availability, as needed, to respond to calls/emails outside of 8am-5pm, Mon-Fri timeframe from representatives attending conferences

 

Preferred Skills & Qualifications

·          Bachelor's degree in marketing or closely related field

·          Proficiency in Microsoft Office (Outlook, Excel,  Word, and PowerPoint)

·          Experience using Adobe products (Acrobat, Photoshop, Illustrator), Salesforce, Marketo, social media applications (e.g., blogs, Facebook, Twitter, LinkedIn, etc.) and Web CMS applications (e.g., Sitefinity)
