PRIMARY FUNCTION
Act as a partner to the VP, Chief Information Security Officer and as a member of the Information Security department's leadership team.
Acts as first point of contact for general department inquiries, providing superior customer service and ensuring all incoming requests (e.g., emails, phone calls, visitors, etc.) are prioritized and handled in a timely and professional manner.
Able to be proactive in anticipating possible business issues and can gather highly confidential and sensitive information from the appropriate source to assist in resolving.
YOU WILL
Manage logistics/event planning for all leadership meetings including selecting venues, food, coordinating development of schedules, by our leaders and providing on-site meeting support.
Negotiate and work with hotel personnel and Grainger teams for meeting support
Schedule and manage business travel logistics and ensure leader has necessary documentation for travel. (Domestic & International)
Co-own and manage department's SharePoint site
Manage multiple papers and electronic documents including composing, modifying, proofreading, or disseminating; for instance, memos/letters, reports, PowerPoint presentations, SharePoint updates, surveys, organizational charts, or records management.
Manage the leader's time through strategic and proactive calendar management and scheduling. May include, but not limited to, managing invites, coordinating presentation content and handouts, recording meeting notes, actions items, and audio, scheduling and launching online content, facilitating online questions from attendees during meetings, troubleshooting technical and logistical issues, and organizing follow up activities.
Support leadership in planning and distributing team member and leader communications
Participate in department projects and functions including but not limited to training and team meetings
Monitor, maintain, and order department supplies and manage associated budget; may own other department specific processes or activities.
Open, sort, prioritize, and distribute all department mail and process outgoing mail. Frequently take action where appropriate as well as track departmental expenses and resolve/reconcile discrepancies on general ledger budget accounts.
Train and provide backup support for other Administrative Business Partners as needed.
Participate in and lead relevant department projects including, but not limited to, relevant enterprise-wide and departmental processes and procedures, training and team meetings, and office moves.
Support the onboarding and departure process for department team members
YOU HAVE
Previous experience as an Executive Assistant, particularly with seven or more of those years supporting Senior Management. C-Suite experience is a plus.
Bachelor's degree or equivalent experience preferred.
Proficient in Microsoft Office: Word, Excel, PowerPoint. Learn and use other software as needed.
Positive attitude and professional behavior; acts with integrity; maintains confidentiality.
Ability to anticipate and handle complex administrative details and to determine best approach/action to use in non-routine situations
Convey essential information clearly and concisely, both in writing and verbally.
Demonstrate a thorough understanding of department and appropriate Company policies, procedures and operations.
Ability to travel 4-6 times a year.
