Executive Assistant

About the Role:

We are looking for an experienced EA with a paralegal background to be responsible for the schedules of our CEO & President / Co-Founders. Some responsibilities include scheduling meetings and appointments, ordering office supplies, and providing general administrative support to our employees. Once the company returns to the office, this role will also include general reception responsibilities. The EA will be the gatekeeper to the office and will assist in classic assistant responsibilities as well as going above and beyond to be helpful wherever necessary.

Previous experience as an office manager or administrator would be an advantage. Ultimately, the EA should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.

Responsibilities:

• Heavy calendar management for the CEO and President
• Schedule domestic and international travel, including lodging and car service. This includes coordinating travel for guests travelling to Chicago to visit Halo.
• Assist in recruiting whenever necessary, from scheduling interviews to creating and posting job descriptions for other departments.
• Assist in new hire paperwork, transit benefits, health and life insurance programs.
• General upkeep of the office as well as ordering office supplies and working with onsite maintenance. This can include assisting in finding new office space, packing and unpacking the office, and being point-person to urgent office fixes.
• Plan all company events ranging from monthly company-wide get-togethers, family and friends’ events as well as corporate retreats.
• Assist in onboarding new hires by providing access to company-used apps like Google, Slack, MS Office, Dropbox etc.
• Act as general switchboard for the company, directing calls to the appropriate departments.
• Assist the legal team.

Qualifications:

• Bachelor’s degree
• Experience as a paralegal
• Previous experience assisting C-Suite staff
• MS Office and Mac OS proficient
