Administrative Assistant

A global clean-energy truck start-up company, opening a site in the Greater Chicago Area, is currently seeking an administrative assistant, to take our business to the next level!  

Job Responsibilities

Site Support

  • Provide administrative support to the Chicago site using a high degree of autonomy and considerable judgment when provided with highly confidential and sensitive information.
  • Handle recurring situations and initiates independent action on assigned projects including coordinating events and/or meetings, schedules, presentations, reporting, and other administrative duties.
  • Responsible for purchasing office supplies. Provide ad hoc support around office as needed.
  • Organize and maintain files, correspondence, records and other documents.

HR Support

  • Performing the biweekly payroll process.
  • Manage and address payroll issues for the site interfacing with Corporate Payroll as needed.
  • Coordinate the interview and hiring process, onboarding new hires and ensuring I-9's are completed.

EHS (Environmental Health & Safety)

  • Perform EHS tasks to include administrative management and additional responsibilities as needed and directed.
  • Organizes all EHS files, and permit files.

Other Supports

  • Perform the end of month activities to include technically completing process and production orders, reviewing the variance report, and printing various EOM reports.
  • Perform needed administrative duties, including oversight of the site's document control process as part of the quality management system.

Minimum Qualifications
Experience in a manufacturing/industrial setting.
Experience handling sensitive and confidential information.
Excellent communication skills (verbal, nonverbal and written).
Experience with Outlook and proficient with the full Microsoft Office suite and other programs
Proactive problem solver
Ability to multi-task

Preferred Qualifications

  • 1-3 years’ experience in a fast-paced administrative assistant role
  • Payroll experience
  • Familiarity with industrial safety processes.
  • Knowledge of document control processes

Education Requirements
HS diploma or equivalent, Bachelor’s degree preferred.
