Payroll Administrator
We are a fast-growing company seeking a full-time payroll manager to administer U.S.-based payroll across 6+ offices and 30+ states. The ideal candidate has deep payroll experience using a variety of platforms, has keen attention to detail, understands payroll compliance, is able to effectively work autonomously yet raise a hand when needed, is experienced in benefits deductions, and can support the Finance & Operations team with reporting.
Role and Responsibilities
- Responsible for the preparation and processing of semi-monthly payroll for a fast-growing company, currently at 500+ employees
- Track and deduct all garnishments and other special payroll deductions
- Responsible for the coordination efforts between payroll, Talent & Culture, Finance, and other departments to ensure proper flow and maintenance of employee data
- Handle the approval of expense reports, as well as the administration of expenses in the accounting system, and troubleshooting expense issues
- Trains new employees on the expense reporting process
- Applies for state income tax and state unemployment tax accounts when remote employees are on-boarded
- Submits quarterly payroll tax and quarterly workers comp reports for states requiring additional filing
- Serves as the administrator for the company 401k plan; enters updates into payroll based on weekly and monthly reports from our plan provider
- Handles all administrative duties related to the company credit card account, including pulling monthly statements, reporting lost or stolen cards, ordering new cards, and adding users
- Manages the company travel portal, overseeing all company travel booked onto corporate credit cards, pulling reports to show average monthly spend and savings; explores ways to leverage savings by utilizing awards programs
- Acts as administrator for the company Charitable Trust; regularly submits employee donation match requests
- Participates in audits and legal administrative duties, as tasked
- Serves as a staff accounting backfill, when team members are on leave
- Ability to work with sensitive data and has a strict understanding of privacy
Preferred Qualifications
- Associate Degree in Business Administration/Finance required; Accounting Degree preferred
- Three+ years in a Payroll Office performing all payroll functions; three years additional payroll office experience in lieu of Associate's degree
- Extremely strong Excel skills and strong MS Word, Outlook, and Sharepoint skills; NetSuite/OpenAir experience a plus
- Strong skills using and understanding the flow of transactions in an integrated and automated payroll accounting system
- Ability to maintain confidentiality and exercise extreme discretion
- Excellent problem solving/judgment skills, and high level of attention to detail and accuracy
- Strong organizational skills and the ability to work under pressure
- Ability to handle and prioritize multiple tasks, meet all deadlines, and is extremely dependable
- Experience with integrating acquired companies into payroll systems a plus
- Experience participating in the selection of payroll vendors a plus
- Experience with Namely payroll or other API systems (e.g., Bamboo) a plus
