We are seeking an organized, proactive, flexible, results-oriented, and motivated Marketing Effectiveness Consultant with strong judgement and critical thinking skills who is laser-focused and passionate about providing best-in-class project, budget and administrative support to the Marketing Success team. This is a fast-paced, multi-faceted environment and we are looking for someone with excellent interpersonal and organizational skills who is a master at multitasking well and can anticipate the needs of the team, keeping ten steps ahead. In this pivotal role, you will support two Executives and five leaders in the Global Operations organization.
What You'll Bring
5-7 years of experience in project management/executive administration or related field
Must have a strong customer service mentality, and consistent desire to exceed expectations as a matter of personal pride.
Proven ability to meet deadlines and work under pressure. Accountable for delivering results. Ability to manage and prioritize multiple projects and arrange agile ceremonies with varying due dates and requirements.
Ability to interact effectively with senior management, executive management, fellow team members and outside stakeholders.
Ability to work across geographic regions, time zones and cultures. Must have demonstrated experience that indicates that the incumbent can think “outside of the box”. Curiosity and innovation are both primary requirements for success
The incumbent must be collaborative, problem-solving and experienced in change management. Creativity, flexibility and initiative are also required.
Must be extremely well organized with superior oral and written communication skills and experience visualizing data in many mediums
Must be adept in Microsoft® Word, PowerPoint, Excel, and database applications, as well as internet applications (e.g., SharePoint).
Must be able to compose and/or coordinate complex correspondence such as reports and presentations in a clear and concise manner.
Agile Certification and/or PMP certification a plus
Flexibility to perform other duties as assigned to support the executives and their teams
Impact You'll Make
As a Consultant, Marketing Effectiveness, you will develop your knowledge and understanding of both the business and the People you support to play a critical role in enabling business success. You will work proactively to align, focus and execute on maximizing the effectiveness of the Team. You will think beyond the task at hand to understand the underlying business drivers, and then work to tie the pieces together to deliver maximum benefit.
You will have a seat at the table and participate in/lead preparation for Team staff meetings, Agile Ceremonies, All Hands, monthly CEO reviews and the annual strategic planning process. To be successful, you must be a proactive thinker who is interested in understanding the business and working to provide more value to each task at hand by maximizing the strategic alignment between the executives and their business priorities.
Projects & Process Management: You will help the team with managing important projects, keeping an eye on key deadlines and keep the team well-informed of upcoming commitments and/or responsibilities. You will play a key role in developing new communication tools and templates and ensuring the delivery of high quality results. Coordinate and manage team deadlines with deliverables and work with executive on drafting final documents. You will help set-up new vendors/agencies as needed and track and coordinate the legal, TPRM and other stakeholder process to ensure projects can proceed as needed. You will serve in a variety of project management functions to ensure successful completion of a wide range of special projects.
Agile Ceremony Planning and Management: You will be responsible for planning the key Agile Ceremonies and ensuring that reporting on the Portfolio Planned and Delivered Commitments, and the agile teams overall efficiency, velocity and effectiveness are produced in a regular cadence and distributed to stakeholders. You will also help in the production of quarterly All Hands meetings and other events – from preparing materials, working with presenters to build out content, hosting dry runs, and ensure all logistics are taken care of. In addition, there will be other in-person and virtual events where you will flex your event planning skills from attendee management, agenda creation, venue sourcing (with support from AMEX BMT), finalizing catering orders, planning group activities and executing on all details.
Financial Management: You will support the Team to submit and track Invoices and Payment in Coupa; You will track AFE’s expenditure against associated budgets.
Organization: You will apply your strong administrative skills and team collaboration mindset by working with other Executive Assistants and support staff to ensure meetings are scheduled in a timely manner and organized to maximize their impact. You will own every aspect of the executive’s calendar and be able to proactively manage conflicts by using sound business judgement, understanding key priorities and critical meetings while juggling last minute requests.
Department Communication: You will act as the liaison between the executive and rest of the team. In this role, you will initiative, establish, and communicate department meetings on behalf of the executive. During each meeting, you will keep an eye on time, run presentations, and provide all meeting requirements. Post-meetings, you will follow-through on necessary action items expeditiously.
Travel Arrangement and Expense Management: As the world opens back up, you will be oversee all aspects of the executive’s travel arrangements from booking flights best aligned to executive’s needs and business requirements, hotel accommodation that is most central to business meetings and scheduling meetings with critical customers/vendors/internal associates. TU has a partnership with AMEX GBT and book our travel via Concur so previous knowledge is preferred. Upon conclusion of travel, you will work with executive to gather all business related receipts and compile expenses for reimbursement within stated TU policy.
