PURPOSE:

The Marketing Operations Specialist provides cross-team project management expertise, ensuring that work is planned and executed on time and on brief. With visibility to all work planned through marcom that leverages creative team and studios, this individual supports the Marketing Operations Manager in prioritizing marcom work output.

KEY RESPONSIBILITIES:

  • Provide end-to-end project management support to marketing managers for marcom:
    • Scope project requirements and support the preparation of timelines.
    • Develop a detailed project plan and monitor progress.
    • Deliver projects on time ensuring quality standards are met.
    • Develop necessary support documentation.
    • Communicate with the team and ensure all members are on board with delegated tasks.
    • Highlight potential risks or malfunctions and act proactively to resolve issues.
    • Seek opportunities for improvement and suggest new projects, ideas and processes.
  • Assists in the development, improvement, and enforcement of traffic processes as we iterate "how we work" to support business initiatives.
  • Utilizes an understanding of the facets of marketing communications, i.e. copy development, graphic design, photography, video, proofreading, digital and print production, approval turnarounds.
  • Monitors planned work in the pipeline and resource availability, reviews prioritized deliverables / deadlines and resolves schedule conflicts (supported by workflow tool reporting).
  • Assisting removal of roadblocks
  • Risk mitigation related to scope and quality including communicating clear description of problems and potential solutions to senior staff in anticipation of problems or when they arise
  • Ensure accurate trafficking of deliverables
  • Drive internal processes and ensure projects are executed in accordance with needs/expectations, with special attention to content, accuracy, and zero errors
  • Communicate issues or concerns to the appropriate team members regarding scheduled workflow that could reduce the efficiency of operations, in a timely and effective manner
  • Makes recommendations on ways to improve department efficiencies
  • Supports relevant marketing efficiency KPI’s

REQUIREMENTS

  • Bachelor’s Degree in Marketing/related field or equivalent experience with proven work experience as a Project Manager (for at least 3 years).
  • Interest in pursuing ongoing PM training
