We are currently hiring an Administrative Coordinator that will have duties supporting Analytics8’s CEO and will also manage the day-to-day organizational operations in our Chicago office. The Administrative Coordinator must be creative and enjoy working in an entrepreneurial environment that is mission driven, results driven and community oriented. The ideal candidate will have the ability to exercise good judgment in a variety of situations, strong written and verbal communication, administrative, and organizational skills.
Responsibilities:
- Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; handling a wide variety of activities and confidential matters with discretion.
- Provide sophisticated calendar management for CEO. Prioritize inquiries and requests while troubleshooting conflicts; make decisions and recommendations to ensure smooth day-to-day engagements.
- Arrange all logistics for meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials.
- Work closely with the executive team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate CEO’s needs in advance of meetings, conferences, etc.
- Manage all aspects of office operational needs. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization.
- Manage IT operations including hardware, software, desktop support, internal telecommunications, and strategic systems development and planning.
- Provide hospitality to all guests and help to create a welcoming environment.
- Answer main phone line and respond to inquiries.
Qualifications:
- Expert proficiency with Microsoft Office, most importantly PowerPoint and Excel.
- Exceptional organizational skills, time management capabilities with an impeccable attention to detail.
- Professional writing capabilities, including emails, memos, letters and other industry-related reports, documents, and correspondence.
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Ability to work independently to complete a high volume of tasks and projects.
- Excellent interpersonal skills with a customer service focus. High degree of professionalism in dealing with diverse groups of people, including senior executives, all levels of staff, vendors and clients or guests.
- Able to maintain a high level of integrity and discretion in handling confidential information.
- Technical proficiency and problem-solving skills related to: IT infrastructure; IT support and troubleshooting; and web-based applications in the cloud.
