Role Description:

 

This position provides administrative, facility, and operational support to all staff members.  The Corporate Office Manager analyzes administrative operations and strategies as well as monitors facility expenses in order to suggest and implement improvements to work methods and systems. This position oversees office administrative activities and will manage the Executive Assistants. The position will report to the Facilities Manager and collaborate with Human Resource Business Partners for employee events and communications. The candidate will be required to be present in the office on a regular basis. 

 

Core Responsibilities:

 

  • Manage Corporate Headquarters to maintain a safe, clean, and functional environment and serve as the liaison with the Office Managers for Oak Street Health’s Oak Brook and Downers Grove Call Centers

  • Manage the Executive Assistants to ensure consistent administrative support to Senior Leadership 

  • Act as Concierge and support for New Hire Orientation

  • Manage the desk reservation software, including data maintenance, employee training, and vendor or IT coordination

  • Serve as the liaison with Property Management to distribute all building communications, setup deliveries, report issues, and coordinate work or building requests

  • Serve as the project manager for any minor renovations across Oak Street’s three Chicagoland offices spaces

  • Manage relationships with vendors

  • Oversee office services by organizing and maintaining office operations and procedures

  • Ensure office efficiency by maintaining and implementing office systems, layouts, and equipment procurement under the direction of leadership

  • Help maintain workplace security by managing access key fobs and ordering/programming Oaky Badges

  • Help maintain the reception and common areas to promote a positive employee experience and support growth

  • Provide general support to visitors and employment candidates

  • Track, order, and stock supplies and equipment, as needed

  • Coordinate employee events

  • Troubleshoot day-to-day issues and answer inquiries as they arise

  • Enforce workplace policies, as needed to ensure safe, clean, and accessible environment

  • Other duties, as assigned

  • Excellent interpersonal and facilitation skills

  • Ability to affect change, work as a productive and effective team member and adapt to changing needs/priorities

  • Excellent organizational skills and ability to manage multiple priorities appropriately

  • Independent problem-solving skills

  • Access to reliable transportation with ability to travel daily

  • Working knowledge of Google Suite and Microsoft Office Suite

  • US work authorization
