The Event Coordinator owns the meeting process for onsite meetings and events from intake to day-of coordination. The Event Coordinator will manage the event space at the Paylocity offices, partner with and support the needs of meeting planners, and will provide input to the creation of processes to standardize onsite meetings and events while maintaining our culture and supporting our growth.

What you'll do:

  • Takes complete ownership of the whole meeting process from intake, detailing, follow-up with planners, room set-up, and day of execution
  • Assists with the coordination and support of all onsite meetings and events
  • Works closely with stakeholders to understand event objective and event needs
  • Monitors event registrations, cancellations, and substitutions
  • Manages communications with stakeholders and facilities team
  • Conducts weekly event meetings with the meetings team
  • Arranges catering for all onsite events
  • Overall set-up of meeting space including AV
  • Manages multiple events at a time
  • Addresses any meeting and event hurdles in a timely manner
  • Facilitates event debriefs, provides and documents future planning recommendations
  • Creates and maintains menu cards used on the buffet
  • Creates and maintains an inventory of item used for events
  • Monitors meeting space to make sure everything is meeting standards
  • Develops and maintains a comprehensive vendor list for events, managing relationships with all caterers, producers, etc.
  • Provides monthly event reporting
  • Acts as administrator for reservation software and provides assistance and training for colleagues
  • Works closely with Procurement Event Specialist on special events
  • Other duties as assigned

What you bring:

• 4 year degree required, preferably with a focus on hospitality or related field

• 4+ year experience in related position (hotel, restaurant, banquet) required

• Experience detailing meetings and events preferred

• Able to work a flexible schedule based on events booked; occasional evenings

• Ability to work both independently and in a team-oriented, collaborative environment.

• Proficient in MS Excel, Word, and PowerPoint

• Good communication and problem solving skills #SH
