Position Purpose:

The Event Specialist supports the Experience team in delivering exceptional experiences designed to amplify and advance HIMSS' impact and mission. The primary purpose of this position is to provide event-related support and coordination of meeting logistics and exhibits services for the HIMSS Global Healthcare Conference, and other US in-person and digital events within a team environment as assigned by the Senior Manager, Events.

Essential Functions:

  • Primary point of contact for all customer service inquiries for the Global Healthcare Conference and US events ( registration and general inquiries questions for attendees and exhibitors ) .
  • Supports Event Lead on day-to-day registration management and operations for Global Healthcare C onference, and smaller and mid-sized meetings. Respond to questions and resolve concerns r egarding registration using pre-established guidelines on transferring registrations, name badge corrections, cancelling registrations and issuing refunds, etc.
  • Support signage process for events .
  • Coordinate logistics for the Program Assistant program and ICW requests for HIMSS Global Healthcare Conference .
  • Coordinate the overall attendee and exhibit services G lobal Healthcare C onference survey .
  • C oordinate and support the Exhibitor webinar series .
  • Send out weekly exhibitor list to vendors for Global Conference .
  • Support Digital programs .
  • Coordinate the process for Staff Training Manual to ensure timely printing and delivery of manuals for staff orientation.
  • Plan and coordinate internal meetings, c oordinate food and beverage orders for all internal meetings. Contact catering companies or restaurants to fulfill onsite F&B orders.
  • Execute Priority Points System for exhibit services .
  • Reconcile billing for Corporate credit card and Travel Service ensuring expenses are valid and charged to the correct department
  • Maintain and manage US Events calendar and list of competitive events .
  • Coordinate website management with internal stakeholders .
  • Support Experience team with administrative duties (including Teams , conference calls, minutes etc . ... )
  • Complete all tasks and projects as assigned and ensure timely delivery based on deadlines
  • On-site support and travel when necessary

What you will need to be successful:

  • Bachelor' s Degree in a Business-related field, Hospitality, or Project Management.
  • Minimum of two (2) years' work experience in the hospitality or meeting services industry required .
  • Highly developed oral and written communication skills and outstanding interpersonal skills.
  • Demonstrated experience using registration systems, audio/visual equipment, and conference decorator services, meeting logistics and food and beverage planning.
  • Experience in the development of formal project plans and budgets as well as the use of appropriate planning and budgeting techniques is essential.
  • Computer literate with experience using MS Suite of products with knowledge of spreadsheets, charting, and data base management software.
