Position Summary

We are seeking an experienced Executive Assistant to support the CEO and Executive Team in our Lisle office in multiple ways: from performing key administrative duties for the office to managing the Team’s schedule and interfacing with Board Members, clients and investors.

Essential Duties and Functions

The individual will manage the office calendars and priorities for the CEO and key Executive Team members. This will include organizing travel, submitting expense reports, managing calendars, anticipating needs and requirements for meetings, and generally ensuring smooth and efficient operational processes. In addition, the successful individual will be the primary interface with Board members, clients, prospective clients and investors for meeting schedules, logistics and management queries. The role requires the ability to work on multiple projects simultaneously across functions and interface with the Company’s employees and external parties.

The Executive Assistant is a critical part of Aquilon’s team. Success in the role requires the ability to go beyond what is expected, to quickly learn new skills, embrace technical challenges, think creatively, maintain confidentiality and communicate effectively. Successful candidates must enjoy working in a fast-paced environment and must be ready to grow with the role. Management may assign or reassign duties and responsibilities to this job at any time based on business needs. To be successful the Executive Assistant must:

  •  Primary responsibility is to support the CEO: managing calendars, anticipating needs and requirements of meetings, organizing travel, submitting expense reports and functions as requested
  • Support additional members of the Executive team: managing calendars, anticipating needs and requirements of meetings, organizing travel, submitting expense reports and generally keeping the office operating efficiently
  • Prioritize and coordinate complicated scheduling of internal and external meetings, travel, conference attendance, and track meeting follow up items
  • Filing accurate expense reports on behalf of supported professionals in a timely manner
  • Board of Directors liaison and communicating with executive level members of the Board and their teams
  • Document Administration: Secure, authorize and retain key Contracts / Legal documents digital and hard copies
  • Lead the planning and execution of Board and investor related events.
  • Act as a liaison both internally and externally through various methods of communication (phone, email, in-person, etc.), maintaining a sense of professionalism, discretion, and judgement at all times.
  • Act as the Company’s receptionist, ensuring guests are greeted with warmth and professional courtesy and that the Team’s critical needs are met.
  • Assist with projects and perform other administrative duties, including general office management tasks and functions as requested

Required Skills/Qualifications

  • BA/BS degree required
  • 3 to 5 years of professional experience in an Executive Administrator role, with demonstrated acumen in key responsibilities defined above, and self-directed follow through on key projects as assigned.
  • Experience working with LinkedIn, Salesforce, Concur, Google Apps, research software helpful.
  • Ability to multitask and meet challenging deadlines
  • Excellent oral and written communication skills
  • Proficiency with Microsoft Office – Word, PowerPoint, Excel and Outlook – as well as CRM systems
  • Ability to manage multiple initiatives under pressure to meet deadlines
  • Exemplary maturity, discretion and judgment inside and outside of the workplace
  •  Positive, outgoing demeanor, team oriented personality with desire to learn and grow
  •  Self-directed towards Achievement / Reliable; able to complete projects with limited supervision. Confident and entrepreneurial.
  •  Strong interpersonal skills, and ability to build relationships and work with professionals throughout the organization
  •  Perfectionistic attention to detail and organization
  •  Have an intense work ethic and competitive spirit, and be able to thrive in an entrepreneurial environment

Our Lisle office is easily accessible from I88 and is walking distance from the train station. We're close to many restaurants and have ample parking.
