Role Description
As the Executive Assistant to the President & Chief Operating Officer you will provide daily support and administrative assistance to the President & COO as well as the members of the Structured Finance and Mergers and Acquisitions Teams. You will work across a broad range of activities including but not limited to calendaring, travel, managing high-priority workflows and approvals, processing expense reporting, organizing meeting notes and other due diligence information and assigned duties. You will have the ability to manage and proactively build relationships across Invenergy senior leadership and key external contacts.
Essential Functions
- Primary responsibility is to actively manage President & COO’s calendar which includes but is not limited to coordinating events, scheduling meetings, organizing attendees, overseeing all travel arrangements.
- Provide similar level of support to the President & COO’s team as needed or required.
- Ensure President & COO runs on schedule, keeping operations moving smoothly and highlighting priorities for upcoming activities and handling meeting preparation.
- Anticipate needs of COO and resolving operational and administrative issues before they arise.
- Responsible for consolidating weekly functional area reports.
- Manage weekly, monthly and quarterly team meetings.
- Manage contract administration processes and procedures and purchase order approval workflows for team.
- Ability to utilize and leverage technology in order to perform responsibilities, including a commitment to maintaining electronic records and other digital mediums (CRM, SharePoint, etc).
- Willingness to assist with booking personal/familial appointments and travel as needed.
Qualifications
- Possesses excellent time management and problem-solving skills with significant experience proactively and effectively managing multiple projects simultaneously.
- Has a strong sense of urgency and attention to detail.
- Ability to work independently and as an extension of the executive office team.
- Able to influence others and communicate tactfully to accomplish complex assignments requiring cross-organization cooperation.
- Has a proven track record of being calm and focused under pressure, resolving and diffusing sensitive situations, maintaining professional interactions with associates at all levels and establishing rapport quickly.
- Interacts positively and professionally with COO’s external and internal networks and exhibits sound judgement on the ability to make reasonable decisions in the absence of direction.
- Ability and willingness to utilize and leverage technology in performing responsibilities including a commitment to maintaining electronic records and other digital mediums.
- A basic knowledge and interest in finance a plus.
Required Education and Experience:
- 3-5 years of relevant full-time experience supporting a high-level executive.
- Discretion when working with sensitive company and personal information.
- High-level of personal integrity and professionalism.
- Maintain a high level of confidentiality at all times.
- Self-directed, reliable, and independent when necessary to complete projects with limited supervision.
- Demonstrate ability to prioritize time sensitive and competing issues.
- Willingness to be available during atypical hours if a high-priority event arises.
- Proficiency in Microsoft Office applications and operation of office equipment
