Position:

This role supports the divvyDOSE Executive team by coordinating and communicating essential business and operational needs. You will work independently in a manner consistent with the highest levels of performance and professionalism to accomplish critical tasks. As a key resource within divvyDOSE and the broader OptumRx business, your positive approach and dedication to teamwork will enable you to provide outstanding assistance.

Primary Responsibilities:

  • Traditional administrative/clerical support roles including: answering the telephone, typing/word processing of documents, maintaining calendars and setting up meetings, making travel arrangements, copying, faxing, greeting visitors, setting up files, tracking expenses, and coordinating building and equipment maintenance
  • Works independently, Act as a resource for others, Mentors others
  • Prior experience providing support in an Executive environment
  • Coordinate meeting attendance, Calendar management, Support travel and expense processing
  • Help coordinate meetings with creating/preparing materials and hospitality set up as needed
  • Preparation for internal and external presentations-logistics, content, prep and coordination
  • Provide meeting materials to attendees in advance for pre-read
  • Monitor emails and messages as needed during core and some non-core hours
  • Monitor and support progress of key business and operational activities
  • Project management: request follow ups and take follow up actions to support project deliverables
  • Collect needed data and content for monthly, quarterly and ad hoc executive and business reporting
  • Support the development and delivery of business reports
  • Monitor targeted social and business media for trends and pertinent data
  • Summarize reports and briefs to surface salient points
  • Understands the value of a rotational role through learning and experience of this role

Requirements

  • High school education or equivalent experience
  • 3 or more years of executive assistant experience supporting c-suite level executives
  • Intermediate Microsoft Word and Google Docs proficiency: create and edit documents from scratch
  • Intermediate Microsoft Excel and Google Sheets proficiency: create spreadsheets from scratch, create and edit formulas, and manipulate expense reports
  • Intermediate Microsoft PowerPoint and Google Slides proficiency: create and edit PowerPoint slides to utilize in executive and staff meetings
  • Advanced Microsoft Outlook and Google Calendar proficiency: complex calendar management including meetings, travel, and conferences
  • Strong written communication skills with experience and ability to create executive speeches and presentations


Preferred Qualifications

  • Bachelor’s degree
  • Experience in coordinating projects to meet deadlines with successful measurable outcomes
  • Strong interpersonal skills with experience managing a variety of needs and priorities
  • Strong attention to detail to identify any existing gaps and bring to resolution
  • Ability to multi-task in a fast-paced and deadline-driven environment
  • Previous experience in a healthcare environment
