We are regulated as a Swap Execution Facility, receiving federal approval from the Commodity Futures Trading Commission (CFTC) in record time. Seed will offer the first regulated market for crypto trading, using the world’s first crypto-fiat margining, compression and settlement system.

3. Job Overview 

Seed is a rapidly growing Startup company and is looking for an executive assistant to support the two founders in their CEO and COO roles. The Company is growing rapidly so no day will be the same, unique opportunities will arise, and challenges will evolve. We are seeking a flexible self-starter able to anticipate executive needs and independently solve. This role will go beyond an EAs traditional duties of managing calendar and executive access, making travel arrangements, as well as managing office related vendor relationships. To be successful in this role, you should be extremely well organized, detail orientated, proactive, meet deadlines, and communicate effectively. You should be able to proactively identify issues, and actively address the needs of senior managers to ensure the company’s executive team functions effectively. The EA must also be to fulfil basic office management functions as well as support basic HR culture building functions and events.

4. Responsibilities

  • Overseeing the entire communication plan and scheduling tasks for the entire company making sure meetings happen on time and as scheduled. 
  • Supporting the CEO and COOs administrative needs. 
  • Coordinating daily calendars of senior managers. 
  • Acting as the point of contact between executives. and employees, clients, investors and vendors. 
  • Overseeing appointment planning and events. 
  • Assuming for responsibility for office management type tasks related to office supplies, catering, office and office equipment. 
  • Creating regular reports and updating internal ledgers and systems. 
  • Manage travel arrangements. 
  • Manage phone calls, emails and other forms of communication such as Slack. 
  • Respond promptly to executive’s queries. 
  • Facilitate internal communication (e.g. distribute information and schedule presentations). 
  • Suggest more efficient ways to run the office and troubleshoot bottlenecks. 
  • Review and recommend changes to our company policies. 

5. Requirements

  • The EA role in a rapidly growing Start Up is not easy so you must have been an EA before. This is a hard requirement. 
  • Sound decision making ability and abundance of common sense is critical. 
  • Startup or capital markets sales experience strongly preferred. 
  • Must be highly fluent in G-Suite. 
  • Must be fluent, or able to be fluent in cloud based office productivity technologies such as Confluence, Asana, Slack, & MSFT Office. 
  • Solid experience with office management systems, ERPs and MS Office. 
  • Familiarity with online calendars and cloud systems 
  • Experience using office equipment, including printers and fax machines. 
  • Strong communication skills (via phone, email and in-person). 
  • Experience exercising discretion and confidentiality with sensitive company information. 
  • Excellent organizational skills with an ability to think proactively and prioritize work. 
  • Additional qualifications as Personal Assistant or Secretary are a plus. 
  • Work in Chicago.
