Job Description
Scope of Responsibilities / Expectations
Job responsibilities include, but are not limited to the following:
Provide support for Chief Information Officer & Direct Reports with scheduling, calendar management, message correspondence, travel arrangements, meeting logistics, phone screening, and expense reporting.
Coordinate group meetings, team/training events and handle all meeting logistics such as venue, catering, agenda/meeting minutes, etc.
Support in assigned project based work as necessary (slide prep for townhalls, leadership meeting prep work, communications prep, facilities related work, etc)
Manage activities related to onboarding contractors (work orders, invoice receiving, Visa work, badging, etc)
Partner with support teams and work cohesively across many different management levels
This position will report to the Chief Information Office and will be located in Chicago.
Desired Background/Knowledge/Skills
3-5+ years of administrative experience
Strong proficiency with office productivity projects (Google products such as Gmail, Google Docs, Google Sheets, and Google Slides, or Microsoft products such as Excel, Work, Outlook, Power Point).
Proven experience as an administrative assistant or in other related position
Excellent oral and written communications skills; organization and planning skills; problem solving skills
Ability to prioritize workload in order to carry out tasks and responsibilities in a professional and independent manner
Ability to multi-task and handle many diverse activities and functions at one time
Must be able to manage a diverse, complex, high volume workload; think proactively, creatively, independently, and analytically
Must have a professional, team-focused demeanor at all times, especially when dealing with high-level customer/partner contacts
Discretion and confidentiality
Willingness to jump in and assist where needed
Basic Requirements
3+ years of administrative or related experience
