Job Description

Scope of Responsibilities / Expectations

Job responsibilities include, but are not limited to the following:

  • Provide support for Chief Information Officer & Direct Reports with scheduling, calendar management, message correspondence, travel arrangements, meeting logistics, phone screening, and expense reporting.

  • Coordinate group meetings, team/training events and handle all meeting logistics such as venue, catering, agenda/meeting minutes, etc.

  • Support in assigned project based work as necessary (slide prep for townhalls, leadership meeting prep work, communications prep, facilities related work, etc)

  • Manage activities related to onboarding contractors (work orders, invoice receiving, Visa work, badging, etc)

  • Partner with support teams and work cohesively across many different management levels

This position will report to the Chief Information Office and will be located in Chicago. 

Desired Background/Knowledge/Skills

  • 3-5+ years of administrative experience

  • Strong proficiency with office productivity projects (Google products such as Gmail, Google Docs, Google Sheets, and Google Slides, or Microsoft products such as Excel, Work, Outlook, Power Point).

  • Proven experience as an administrative assistant or in other related position

  • Excellent oral and written communications skills; organization and planning skills; problem solving skills 

  • Ability to prioritize workload in order to carry out tasks and responsibilities in a professional and independent manner 

  • Ability to multi-task and handle many diverse activities and functions at one time

  • Must be able to manage a diverse, complex, high volume workload; think proactively, creatively, independently, and analytically

  • Must have a professional, team-focused demeanor at all times, especially when dealing with high-level customer/partner contacts

  • Discretion and confidentiality

  • Willingness to jump in and assist where needed


Basic Requirements

  • 3+ years of administrative or related experience

  • Strong proficiency with office productivity projects (Google products such as Gmail, Google Docs, Google Sheets, and Google Slides, or Microsoft products such as Excel, Work, Outlook, Power Point)
