Livly is seeking a resourceful, compassionate, and enthusiastic Office Manager / Administrative Assistant to creatively and efficiently maintain our office procedures. You will act as the primary point person responsible for making sure our office runs smoothly each and every day. Additionally, you will provide best in class support to our executives by meticulously managing their calendars and travel. If you love helping people, are always thinking two steps ahead to anticipate needs, and have strong organization and communication skills, this is the perfect role for you!

What you'll do in this role:  

  • Professionally greet and situate all visitors, guests, and employees, providing a great first impression of Livly 
  • Ensure a vibrant, clean, and inviting workplace by proactively managing facility needs, repairs, and maintenance.  
  • Track inventory and manage the ordering and stocking of office supplies and snacks.  
  • Maintain conference rooms and ensure rooms are prepped before interviews and meetings.  
  • Sort and distribute incoming mail and ship outgoing mail as needed. 
  • Support team members in addressing and solving ad hoc needs and requests. 
  • When asked "What does your daily planner look like?", please answer with "Livly". 
  • Partner with our Head of Talent to implement and promote company culture initiatives, using creativity in planning events that bring employees together and joy into the office. 
  • Support our four executives in day-to-day operations including: 
    • Maintaining and managing multiple calendars in Outlook. 
    • Coordinating travel arrangements and itineraries. 
    • Handling confidential material with the utmost professionalism.

What you bring to this role:   

  • Bachelor’s Degree or equivalent with 1-3 years office management and/or administrative assistance experience. 
  • Ability to prioritize, multi-task, and adapt to the constantly changing needs of a busy team.  
  • A resourceful, creative problem solver with the ability to work independently.  
  • Proficiency in Outlook and Microsoft Suite. 
  • Eagerness to contribute to and learn in a startup environment.
