The Role:
We are a thriving startup excited to be moving into a brand new space in Old Irving Park this summer and we are looking for a bright, personable, organized individual to manage all activities that facilitate the smooth running of our office. This individual needs to be detail oriented with a level head and a strong work ethic. You need to be able to show initiative, be judicious, and prioritize accordingly while carrying out multiple office tasks. An important part of the initial function of this position will be coordinating our upcoming office move and the successful candidate will be someone that can communicate clearly and cooperatively as well as being comfortable managing large scale projects and logistical coordination.
Responsibilities Include:
- Greet all visitors and guests in a friendly and professional manner
- Screen and direct incoming calls efficiently, and take detailed messages when appropriate
- Assist team with coordinating travel, managing calendars, scheduling events/meetings
- Act as main purchaser for office including assets and all office and kitchen supplies
- Distribute, tag, and track all company assets as directed by department heads
- Receive all mail, packages, and deliveries; distribute to the appropriate parties
- Maintain a clean, efficient and functional office environment
- Manage all vendor contracts pertaining to the office facilities including scheduling services and researching options to reduce overhead
- Be a part of maturing and editing office policies and procedure for improved workflow
- Draft correspondence and other formal documents
- Manage recognition of birthdays and work anniversaries for both location owners and team members
- Run miscellaneous errands for the office and ad hoc administrative support projects as designed

- Experience in office or operational coordination
- Administrative capabilities
- 3+ years of professional experience
- Strong guest services skills
- Team player with exceptional ability to problem solve, plan, and make decisions
- Ability to influence and manage competing priorities with follow through to completion
- Proficiency in Microsoft Office and Google Drive Tools
- Superior written and oral skills
- Extreme attention to detail
- Bachelor’s Degree or equivalent experience
The Nice-to-Haves:
- Experience with office or other operational location moves
- Experience in a startup environment
- Proficiency in purchasing and budget management
- Previous administrative, executive, or personal assistant experience
