In service to this mission, our Executive Assistant brings their enthusiasm and creative problem-solving to keeping the trains running on time and in the right direction. This critical individual serves as point-person for all office-related needs and supports the most important resource Lumere has – its people. You are an energetic person who doesn’t mind wearing multiple hats and is experienced in handling a wide range of administrative and executive support-related tasks. We also need your expertise in organizing and coordinating our office and administrative procedures to ensure organizational effectiveness, efficiency, and safety!

Responsibilities include (but are not limited to):

  • Manage the reception desk during core business hours (8:30am – 5:30pm CT)
    • Warmly greet visitors and candidates upon arrival; answer phone and emails and smartly field inquiries or take messages; sign for packages and distribute mail; manage the appearance of our reception area
  • Maintain a professional, organized, and comfortable office environment
    • Keep office and kitchen clean and appropriately-stocked; track inventory against budget; conduct daily quality-assurance walkthroughs; arrange and oversee office repairs and services, as needed; manage snack orders and office catering
  • Provide administrative support to CEO and President
    • Strategic and proactive calendar management; travel coordination - provide detailed itineraries and coordinate hotel, transportation, and dining logistics; assist in meeting preparation – ensure delivery of meeting materials and ensure catering is arranged; handle highly sensitive and confidential information
  • Perform general office duties
    • Build and manage relationships with various vendors and service providers and manage contract pricing and negotiations; invoice company clients and follow up on past due amounts; assist with strategic projects regarding facilities, coordinate with IT department on all office equipment
  • Work with HR to champion the Lumere brand
    • Participate actively in the planning and execution of company events, employee engagement efforts, and culture initiatives; help our Talent Acquisition Specialist with scheduling interviews when time is at a premium; anticipate when staff is at full-throttle and take initiative to order lunch in for all; provide orientation on facilities to new employees

Qualifications:

  • Experience supporting executives and/or managing an office of 50+ people for 3+ years
  • Pro-like proficiency with Microsoft Office Suite and Google Apps/GSuite
  • Ability to think three steps ahead by employing critical thinking independently
  • You write and speak clearly, directly, and thoughtfully
  • Circus-like ability to juggle multiple tasks simultaneously with high attention to detail
  • Exceptional organization, time-management, and follow-up skills
  • You’ve got history thriving in a fast-paced, slightly ambiguous, ever-changing world
  • You are friendly and patient with good judgment, common sense, and can keep a secret
  • A demonstrated track record for doing what you say you are going to do, when you say you are going to do it, and doing it with the highest of standards
  • Ability to develop and maintain effective relationships with a high degree of professionalism and positivity
