ABOUT THE POSITION

The Pilot Network Coordinator & Executive Assistant is self-motivated, dependable, well-organized, adaptable, flexible, resourceful, computer savvy, and detail oriented with strong written and verbal communications skills. A “can do” attitude is required and the individual must be able to work in a fast-paced, challenging, energetic startup environment with the ability to balance multiple priorities. This position has a unique responsibility for key tasks that support the company internally and externally, thus the split of hours are: 1) Pilot Network Coordinator - 25 hours 2) Executive Assistant - 15 hours.

RESPONSIBILITIES

Reporting to the Head of Pilot Network, the role of a Pilot Network Coordinator is the foundation of the pilot network. This requires you to have great follow through on tasks, laser focus, attention to details, great accountability and organization skills. The Coordinator will be tasked with managing all aspects of pilot on-boarding and requires a friendly, people-oriented personality that enjoys all aspects of ensuring the highest degree of pilot satisfaction.

 

As Pilot Network Coordinator, your duties are (and not limited to):

 

Responsible for every detail in ensuring that our pilots’ on-boarding experience is successful. Accounting for the many different steps in the on-boarding process including constant follow up and lots of behind the scene details that need to be managed. As Coordinator, you will:

 

·       Managing the pilot intake through various web channels

·       Develop and maintain relationships with our pilots

·       Build rapport while consistently asking for feedback

·       Data collection and market research concerning pilot needs

·       Pilot outreach and on-boarding

·       Ensure all on-boarding paperwork is correct

·       Schedule daily phone calls to screen pilots

·       Report weekly on pilot numbers

·       Ensure pilots are paid on time and resolving any compensation discrepancies

 

Reporting to the President of the company as an Executive Assistant, your duties are (and not limited to):

·       You are in support of the President and responsible for keeping our President organized and on time, managing her schedule, travel plans, meetings and public relations/speaking requests

·       Schedule and manage company meetings with internal teams and external partners

·       Working with the Accounting team to itemize and file the monthly company expense reports

·       Collaborate for key event marketing initiatives to ensure planning tasks are complete, such as shipping booth materials, swag items, and coordinating with event planners on booth details

·       Onboard new company employees and preparing such things email domains, ordering equipment, and other necessary items

·       Plan and arrange all details for social outings/dinners based on input from the President

JOB REQUIREMENTS

·       B.A. / B.S. degree in Business/Finance, Engineering, Marketing, Humanities, Liberal Arts

·       Previous work experience in community management/advocacy.

·       Positive attitude and creative outlook

·       Flexible and able to adapt to constant change; self-driven and motivated; able to prioritize and work independently

·       Proven record of handling confidential information with strong discretion

·       Forward-looking thinker; quick learner, resourceful and flexible; ability to work long hours, handle ad hoc issues over the weekends

·       Extremely organized, detail-oriented, motivated and able to handle multiple projects in a fast-paced environment.

·       Demonstrated strong verbal, interpersonal, and written communication skills and ability to build relationships with stakeholders, including staff, board members, and external partners

·       Proficiency in MS Office and Google applications; familiar and adaptable to new technology

·       Ability to work productively and cooperatively with a diverse range of personalities and working styles
