Position Overview:
The New Employee Onboarding (NEO) coordinator provides overall support to the NEO Program Manager and NEO project team on the planning and execution of New Employee Onboarding. As a member of the NEO project team, the Coordinator will play a critical role in arranging/sending all communications on time and completing all administrative tasks on schedule to ensure smooth and flawless execution. These administrative tasks can include scheduling meetings, sending invites, booking resources, arranging schedules, maintaining agendas, and creating communications and reports.
Location Reports To: Director Organizational Learning and Development
Responsibilities:
- Plan and schedule bi-weekly sessions of New Employee Onboarding across the enterprise.
- Coordinate, schedule and support all NEO activities that are part of the 12-month new employee experience.
- Schedule trainers and support resources, including executive guest speakers.
- Partner with Talent Acquisition to maintain a current list of all new employees and ensure that all incoming employees receive their required communications related to NEO.
- Create, send and maintain invites to attendees, trainers, guest speakers and support resources for all NEO-related sessions.
- Maintain attendance records for all NEO sessions, and create/send regular reporting.
- Track NEO-related spending for budget purposes.
- Act as a key contact for our vendor partners and place orders as needed.
- Partner with cross-functional teams in support of NEO.
- Analyze data from the entire new employee experience to identify patterns and trends that can lead to process improvements and execute those improvements as appropriate.
- Other duties as assigned.
Requirements:
- Three or more years’ administration experience
- Proactive approach to projects with a laser focus on getting things done
- Strong analytical skills, with a proven ability to identify and resolve problems
- Proficient in Microsoft Office suite
Preferred Skills:
- PowerPoint skills including presentations, graphic use, template set-up, etc. preferred
- Prior experience in events management or planning preferred
- College degree in HR, L&D or Business preferred
- Excel skills including spreadsheets, formulas, etc. preferred
Soft Skills:
- Cool under pressure, and always meet deadlines
- Excellent organizational skills and time management are a must
- Detail oriented
- Professional verbal and written skills to all levels of the organization.
- Ability to establish and maintain effective working relationships internally and externally
