POSITION SUMMARY:
The Account Administrator is responsible for performing various shared service related to both alternative and traditional asset. Services are provided to all Asset Operations teams as well as partner teams within Millennium including Transaction Services and Fund Custody. The ideal candidate will be a quick learner and have strong attention to detail, accurate and rapid data entry capabilities, capacity for multitasking, and the ability to prepare and process correspondence in a timely manner. Through verbal and written communication, the incumbent will develop, strengthen and maintain a positive relationship with the Asset Operations, firm associates, clients, investment sponsors, and referral partners. work whereby each Administrator has specific responsibilities but will cross-train and rotate through a number of different operational functions.
ESSENTIAL JOB FUNCTIONS:
- Monitor and process activity related to specialty alternative asset classes including private stock, warrants, real estate, precious metals and annuities
- Review and record vault asset deposits and withdrawals and assist with the vault audits
- Review and record lock box deposits and withdrawals relating to the Incoming Physical Securities procedures
- Maintain the asset security master within the Trust Accounting System
- Maintain and review, update the contact master within Salesforce
- Process bankruptcy and other court-related notifications, prepare requests for asset devaluations and process monthly updates related to approved impairments
- Research and resolve any issues that arise in the course of these processes
- Ensure that work generated consistently adheres to Company policies and procedures and meets established service levels
- Create and maintain written operating procedures related to assigned functions
- Actively share ideas to improve department processes and efficiencies
- Other duties as assigned
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
- Bachelor's Degree in Business, Accounting, Finance or related field
- 1 - 3 of applicable experience
- Ability to be detail-oriented, organized and dependable
- Possess a strong aptitude for numbers and reconciliations
- Proactive and analytical, able to problem-solve and propose solutions
- Operate efficiently, with a high degree of accuracy and follow-through
- Proven ability to both prioritize and manage multiple tasks to completion
- Ability to work effectively and accurately under pressure
- Possess excellent verbal and written communication skills
- Operate with a high sense of responsibility and conscientiousness in delivering results
- Optimistic with a consistently positive and flexible attitude
- Demonstrated strong computer aptitude and proficiency with Microsoft Excel, Word and Outlook
- Ability to maintain the highest quality of service
- Working knowledge of Trust Accounting System, IRAs and alternative assets preferred
