Core Responsibilities - Administrative Assistant

 

  • Maintain calendars for leaders of the Residential Services team, schedule all meetings and conference calls, field e-mails and phone calls requesting meetings
  • Coordinate all related conference rooms including any catering, audio/videoconference set up
  • Arrange all aspects of travel, keeping travel profiles up-to-date, arrange flights, hotels, rental car service, and prepare itinerary
  • Organize various meetings, employee events, workshops, etc. and make catering arrangements when necessary.
  • Heavy client interaction with high-level executives; act as liaison with clients and their assistants
  • Prepare and submit all expense reports on a timely basis
  • Type correspondence, prepare presentations and meeting materials when needed
  • Open and distribute mail, sort and prioritize; arrange messenger and overnight package services
  • Ensure that problems and solutions are communicated in a timely manner
  • Identify opportunities for improving productivity and efficiency
  • Participate in special projects and taskforces, as assigned

Education and Experience

  • Undergraduate degree and/or minimum of two to three years providing office services in a corporate environment strongly preferred
  • 1+ years of administrative experience is required
  • Professional, relevant examples of managing multiple priorities, organization, scheduling, etc.
  • Proficient in Microsoft Office Suite applications including Word, Excel, Power Point, and Outlook

Job Classification

  • This is a full time, non-exempt position
  • The schedule for this position is Monday- Friday 8:00 AM-5:00 PM
