Office Manager/Executive Assistant
Overall Responsibility
Responsible for overall front office activities, including the reception area, mail, purchasing requests and facilities. Also responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Responsible for arranging internal office moves and providing arrangements for meetings and travel. This person will also provide direct administrative support to members of Hireology's management team including the CEO.
Key Tasks and Responsibilities
- Manages inbound calls/emails to ensure effective telephone and written communications both internally and externally to maintain professional image.
- Supervises and coordinates office and administrative activities for Hireology
- Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
- Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
- Supervises the maintenance of office equipment and supplies
- Responsible for day-to-day administrative operations (such as distributing building access keys, etc.)
- Participates as needed in special projects.
Skills and Attributes
- At least two years of professional experience (or equivalent); previous startup and/or high-growth company experience extremely desirable.
- Experience working with multiple executives simultaneously - managing schedules, communication, meetings, resources, etc.
- Superb planning and organizational skills.
- Well-developed interpersonal and communication skills.
- Professional appearance and manner.
- Computer literacy, specifically Microsoft Office (Excel, Word, PowerPoint), Google Apps for Business, Salesforce.com, and other web-based business applications.
- Ability to negotiate effectively with 3rd parties.
- Ability to lift approximately 20-25 lbs.
Education/Experience:
- Bachelor’s degree from an accredited 4-year college or university required.
- At least two years of previous experience in office management or administrative support.
- Startup/early stage/high growth company experience is highly desired.
