Key Responsibilities

Administrative Support

  • Manage calendars, appointments, and meeting schedules for managers or executives
  • Prepare reports, presentations, spreadsheets, and internal documents
  • Maintain accurate filing systems for both physical and digital records
  • Perform data entry and update company databases regularly
  • Draft correspondence, memos, and reports

Communication Management

  • Answer phone calls and respond to emails professionally
  • Coordinate internal and external communications
  • Relay messages to appropriate departments or personnel
  • Assist with customer inquiries when needed

Office Coordination

  • Order office supplies and maintain inventory levels
  • Coordinate office maintenance requests
  • Schedule conference rooms and meeting spaces
  • Assist in organizing company meetings, conferences, and events

Travel & Scheduling

  • Arrange travel accommodations and itineraries for executives or employees
  • Coordinate transportation arrangements
  • Track travel expenses and reimbursements

Record Keeping

  • Maintain confidential employee and company records
  • Process invoices, expense reports, and purchase orders
  • Assist with payroll documentation when necessary

Team Support

  • Support HR with onboarding paperwork
  • Assist departments with administrative projects
  • Monitor deadlines and follow up on tasks

Required Qualifications

  • High school diploma or GED required
  • Associate’s or Bachelor’s degree preferred
  • 1–3 years of administrative experience preferred
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Ability to maintain confidentiality
  • Attention to detail and problem-solving skills
