The Administrative Virtual Assistant provides remote administrative, organizational, and clerical support to management, employees, clients, and business operations. The position is responsible for managing schedules, emails, documents, data entry, appointments, communications, and other day-to-day administrative tasks.
The ideal candidate is highly organized, dependable, detail-oriented, tech-savvy, and comfortable working independently in a remote environment. Strong communication skills, time management, and the ability to prioritize multiple tasks are essential.
Key Responsibilities
Manage calendars, appointments, meetings, and schedules.
Schedule and confirm appointments with clients, customers, vendors, and team members.
Monitor, organize, and respond to emails and other business communications.
Draft professional emails, letters, reports, and other correspondence.
Perform data entry and maintain accurate digital records.
Organize and maintain electronic files, folders, documents, and databases.
Prepare, format, edit, and proofread documents, spreadsheets, and presentations.
Create and update spreadsheets, reports, lists, and administrative records.
Conduct online research and compile information as requested.
Assist with customer inquiries through email, chat, or other communication platforms.
Make and receive business phone calls when required.
Coordinate meetings, prepare agendas and supporting documents, and record notes when needed.
Maintain task lists and follow up on outstanding assignments.
Assist with travel arrangements, reservations, and scheduling.
Prepare invoices, expense reports, purchase orders, or other administrative documents when applicable.
Assist with basic bookkeeping or financial administrative tasks as assigned.
Maintain contact lists and customer or client information.
Coordinate with employees, clients, vendors, and external partners.
Manage online forms, applications, and administrative submissions.
Assist with social media scheduling or basic online business tasks when required.
Maintain confidentiality of company, customer, employee, and financial information.
Monitor deadlines and ensure administrative tasks are completed on time.
Provide general administrative support to management and other departments.
Learn and use company-specific software, platforms, and online tools.
Perform other administrative duties and special projects as assigned.
Required Qualifications
High school diploma or equivalent.
Previous administrative, virtual assistant, customer service, or office experience preferred.
Excellent written and verbal communication skills.
Strong organizational and time-management abilities.

Experience with Zoom, Microsoft Teams, Slack, or similar communication platforms.
Ability to use cloud-based file storage and document-sharing systems.
Accurate data-entry and keyboarding skills.
Ability to learn CRM, project-management, scheduling, accounting, and other business software.
Basic knowledge of online research and information management.
Social media or Canva experience is a plus.
Preferred Qualifications
1–3 years of administrative, virtual assistant, customer service, or office experience.
Previous remote-work experience.
Experience managing calendars and email inboxes.
Experience supporting executives, managers, entrepreneurs, or small businesses.
Experience with CRM or project-management software.
Experience with invoicing, scheduling, bookkeeping, or expense tracking.
Experience working with confidential information.
Bilingual or multilingual communication skills may be an advantage.
