The Bids, Proposals, & Contracts Coordinator will source opportunities (RFP, RFQ, RFI, grants, etc.) and lead the preparation and submission of winning proposals. In this role, the Bids, Proposals, & Contract Coordinator will work closely with internal teams to ensure that Request for Proposals (RFPs), Request for Quotations (RFQs), and Requests for Information (RFIs) are compliant, clear, persuasive, well-written and submitted on time. The Bids, Proposals, & Contracts Coordinator will manage the proposal development process, maintain tracking systems, contribute to pricing and proposal strategy, maintain contracts, and assist in managing the end-to-end bid process.

Act as the central point of contact on assigned proposals while leading the coordination of bid and proposal preparation, ensuring timely submission in line with client deadlines.

Researching, writing, and producing a high volume of client-facing documentation on behalf of our company in support of our print and digital products.

Collaborate with Sales, Digital Product leads, Editorial, and other subject matter experts to ensure all proposal elements are completed on time.

Write persuasively, including executive summaries and other critical components of deliverables and/or edit sections of the proposal, ensuring clarity, consistency, and compliance with client expectations.

Work with Finance and Sales to ensure proposals meet cost targets and reflect accurate pricing structures.

Manage the logistics of proposal submission, ensuring timely delivery via the appropriate channels.

Track and record proposal submissions, maintaining a database of current and past bids.

Monitor proposal content to ensure compliance with RFP requirements and evaluation criteria.

Monitor relevant competitive opportunities, managing the bid opportunities pipeline and circulating opportunities to the appropriate stakeholders.

QUALIFICATIONS:

Required:

4+ years’ experience writing and seeking grants and proposals in the educational publishing industry and corporate contract experience in a Bid, Proposal, & Contracts Coordinator or similar role

Experience in project management, particularly related to preparing technical or business proposals

Familiarity with RFP processes and tender submissions in educational publishing industry

BS/BA degree, or equivalent in relevant experience

Personal Qualities:

Highly detail-oriented with excellent communication, organizational, and project management skills

Self-starter and multitasker who works well under pressure and follows through on tasks

Proven ability to work across organizations with effective communication, leadership, and project management skills

Strong written, presentation, and verbal communication skills

Ability to work in a deadline-conscious, results-driven environment and collaborate with multiple teams and work under pressure to meet tight deadlines

Experience with understanding and interpreting legal terminology a plus

Proficiency in Microsoft Office365 Suite (Outlook, Word, Excel, PowerPoint)

Pay Range:

48,000.00 - 72,000.00
