Bilingual Executive Administrative Assistant

  • Time Range: Between 7 AM and 7 PM CST

  • Working Hours: 9 hours per day (8 working hours + 1-hour break)

  • Days Off: TBD (2 days per week)

About the Role

We're looking for a sharp, highly organized Bilingual Executive Administrative Assistant to work directly with our CEO. You'll be the person who keeps everything moving, managing the calendar, tracking action items, coordinating with internal teams and outsourced providers, and making sure nothing gets missed. This isn't basic admin work. We need someone who thinks ahead, follows through, and takes full ownership of keeping the CEO organized and focused on what matters most. Full professional fluency in both English and Spanish is required for this role.


Core Responsibilities

Calendar and Schedule Management

  • Manage the CEO's calendar, agenda, and daily priorities

  • Schedule and coordinate internal and external meetings

  • Prepare daily and weekly agendas to keep the CEO on track

  • Assist with personal scheduling and travel planning as needed

Follow-Up and Accountability

  • Track action items and follow up with internal team members to ensure tasks are completed

  • Coordinate with outsourced service providers on ongoing deliverables

  • Follow up with external vendors and escalate issues when needed

KPI and Reporting Support

  • Help ensure KPIs, goals, and processes are being monitored and followed

  • Maintain trackers, dashboards, and reports for CEO review

  • Organize and prepare information and documents ahead of reviews and meetings

Coordination and Communications

  • Serve as a point of contact between the CEO, leadership team, and external service providers

  • Manage communications on behalf of the CEO with professionalism and discretion

  • Keep all parties aligned on priorities, deadlines, and next steps


Candidate Qualifications

Must-Haves

  • 3+ years of experience supporting C-level executives or business owners

  • Full professional fluency in both English and Spanish, written and spoken

  • Strong organization and time management skills

  • Excellent follow-up and attention to detail, you don't let things fall through the cracks

  • Clear written and verbal communication in both languages

  • Comfortable working with KPIs, trackers, and basic reporting

  • High level of discretion and confidentiality

Good to Haves

  • Experience with Microsoft 365 or Teams

  • Familiarity with project management tools (Asana, ClickUp, Monday, or similar)

  • Comfortable building or maintaining spreadsheets and dashboards
