Job Description Summary
This role is responsible for the ongoing administration, support, enhancement and optimisation of ODM operational systems, reporting, automation and business processes.
The role supports the PMO Program Manager and operational leadership team by developing and maintaining reporting solutions, system configurations, workflows, automations, user access controls, operational administration activities, and training materials that enable efficient, compliant and scalable delivery across ODM and CMDU programs.

About the Role

Acting as a key link between operations, systems and business stakeholders, the role identifies improvement opportunities, translates business requirements into practical solutions, and supports the successful implementation, rollout and adoption of new processes, systems and capabilities. The position is responsible for ensuring operational information, reporting, governance artefacts and supporting documentation remain accurate, accessible, controlled and aligned to business requirements.

Working closely with operational teams, subject matter experts, compliance and leadership stakeholders, the role drives continuous improvement through data-driven insights, system optimisation, automation and standardisation, helping to improve operational efficiency, compliance, visibility and overall program performance.

Key Responsibilities:

  • Administer, maintain, configure and optimise operational systems, platforms and business applications, ensuring reliability, compliance and alignment to business requirements.
  • Develop, maintain and enhance reporting, dashboards, analytics and performance measures, ensuring data quality, integrity and consistency across operational systems and business records.
  • Design, develop, implement and maintain automation solutions, digital workflows, forms and system enhancements that improve operational efficiency, data quality and user experience.
  • Manage user access, system permissions, security profiles, onboarding and offboarding activities across approved operational systems and platforms.
  • Undertake operational administration activities, including the maintenance of system records, document repositories, templates, workflow content, automation assets, registers, reference data and business support materials.
  • Partner with operational and business stakeholders to capture requirements, identify improvement opportunities and deliver system, reporting, automation and process improvement initiatives.
  • Configure, test, deploy and support new functionality, process improvements and operational initiatives, including quality assurance and user acceptance testing activities.
  • Develop and maintain process documentation, work instructions, quick reference guides, training materials and knowledge assets to support consistent delivery and user adoption.
  • Support mobilisation, transformation, system enhancement and continuous improvement initiatives through analysis, reporting, configuration, testing, training and implementation activities.
  • Collaborate with operational teams, subject matter experts, compliance and leadership stakeholders to standardise ways of working, embed best practice and improve operational performance.
  • Maintain governance artefacts, system documentation and supporting business records to ensure information remains accurate, accessible, current and appropriately controlled.
  • Escalate system issues, data quality concerns, access risks, process gaps and operational impacts to the PMO Program Manager as required.

Experience Required:
 

  • Experience in systems administration, reporting and analytics, business systems support, operational administration or process improvement roles.
  • Experience developing, maintaining and supporting reports, dashboards, data visualisations and performance reporting solutions to support operational and business decision-making.
  • Experience administering and supporting business applications, workflow systems, digital platforms and operational systems, including user access management, security roles, onboarding and offboarding activities.
  • Experience designing, developing or maintaining automations, digital workflows, Power Apps, Power Automate solutions, forms and business process improvement initiatives.
  • Experience gathering requirements from stakeholders and translating business needs into practical system, reporting, automation and process solutions.
  • Experience developing and maintaining process documentation, work instructions, quick reference guides, training materials and knowledge assets.
  • Experience maintaining data quality, system records, document repositories, registers, reference data and controlled business information.
  • Experience using Microsoft Office applications, including Excel, Power BI, SharePoint, Visio, Copilot and other business productivity tools.
  • Experience with workflow, CRM, ERP, field management and low-code platforms (e.g. Sitetracker, Salesforce, Power Platform, Maximo, Appian, ConSol or similar systems), including Salesforce Flows, Apex development or system integrations, would be highly regarded.
  • Experience supporting operational change, system rollouts, AI-enabled solutions, business transformation initiatives and continuous improvement programs would be highly regarded.
  • Experience in telecommunications, infrastructure, utilities, construction, property or service delivery environments would be highly regarded.
