Role Description

This role owns the accurate, on-time execution of marketing campaigns across five distinct event formats — Hosted Webinars, Simulive Webinars, Third Party Webinars, Sponsored Events, and Hosted Events — each with its own workflow, timeline, and set of dependencies. The person in this seat isn't designing campaign strategy; they're the one making sure every campaign runs exactly the way it's supposed to, every time, with nothing missed.

Success in this role looks like flawless execution against established templates and checklists: emails go out to the right list at the right time, event pages are built and published correctly, workflows are cloned and configured without errors, and pre/during/post-event tasks are completed in sequence. Because the team runs multiple campaign types simultaneously with overlapping timelines, the person who thrives here is someone who can hold several parallel processes in their head at once without letting details slip. Keeping Asana current isn't an afterthought in this role — it's how the rest of the team stays informed without having to chase status updates.

This is a hands-on operator role, not a strategist role. The ideal candidate takes real satisfaction in precision — catching the small thing before it becomes a big problem, following a process exactly as documented, and flagging deviations rather than improvising around them.

Responsibilities

Campaign Execution

  • Execute campaign workflows for all five event types (Hosted Webinars, Simulive Webinars, Third Party Webinars, Sponsored Events, Hosted Events) following documented templates and timing guides
  • Build and schedule email sends in HubSpot and Customer.io according to campaign timelines, double-checking audience lists, send times, and personalization tokens before every send
  • Set up and manage event registration pages and webinar/event platforms in Zuddl
  • Publish and update campaign landing pages and content in Sanity
  • Build and maintain the recurring webinar series in Sequel, keeping the live schedule accurate and up to date
  • Clone and configure campaign workflows for new events, adapting them to each campaign type's specific flow

Process & Detail Management

  • Follow pre-event, during-event, and post-event checklists precisely, flagging any step that can't be completed as specified
  • Track task status and timing (e.g., T-2 weeks, T-10 days, T+X days) against campaign launch dates and escalate anything at risk of slipping
  • Keep Asana fully up to date in real time — task status, due dates, comments, and blockers — so the team always has an accurate, transparent view of where every campaign stands without needing to ask
  • Maintain clean, organized records of assets, lists, and workflow links tied to each campaign
  • Perform basic list building and segmentation tasks (e.g., pulling attendee/lead lists) with minimal Salesforce involvement
  • Conduct QA on emails, pages, and workflows before go-live — checking links, formatting, personalization, and audience targeting

Coordination

  • Communicate task status and blockers clearly to campaign owners and stakeholders
  • Escalate ambiguity or missing information rather than guessing at intent
  • Support ad hoc list, follow-up, or coordination requests tied to live campaigns (e.g., conference lists, event follow-ups)
Requirements

Required Qualifications

  • 1-3 years of experience in marketing operations, campaign coordination, or a similar execution-focused role
  • Demonstrated exceptional attention to detail — this is the single most important qualification for this role
  • Comfortable learning and working across multiple platforms simultaneously (HubSpot, Customer.io, Zuddl, Sanity, Sequel)
  • Strong organizational skills and ability to manage multiple concurrent campaigns without dropping details
  • Ability to follow documented processes precisely and recognize when something doesn't match the template
  • Experience keeping project management tools (e.g., Asana) accurately updated as a core part of daily workflow
  • Clear, proactive written communication for status updates and escalations

Preferred Qualifications

  • Prior hands-on experience with HubSpot (email/workflow building) and Customer.io
  • Familiarity with webinar or event platforms (Zuddl or similar)
  • Basic familiarity with Salesforce (light usage only — this is not a Salesforce-heavy role)
  • Experience working in a marketing or RevOps team supporting B2B events/webinars
