BOLT FARM is building America's most iconic romantic luxury retreat brand — nature-immersed, high-experience, and emotionally transformative. Backed by 3,300+ five-star reviews, an audience of 1M+, and features in Forbes, Travel + Leisure, and Netflix, we're scaling from a high-performing flagship into a national portfolio. If you want to operate at the ground floor of a brand with real momentum, high standards, and a team obsessed with doing it right, this is your seat.
Why This Seat ExistsToo many decisions, priorities, and execution details still route through our founder. We're not solving that with a personal assistant or a project manager. We're solving it with a Chief of Staff who can install the operating system that keeps the company clear, focused, and moving — so leaders win independently and Seth is freed to focus on vision, media, capital, and future locations.
Your mission is simple: make the founder and leadership team dramatically more effective. You turn ideas into decisions, decisions into owners, owners into deadlines, and deadlines into shipped outcomes.
Your TeamYou report directly to Seth Bolt and work across the full leadership team — Brand, Revenue, Ops, Prop, Finance, Tech, Talent, and guest-facing operations. These leaders already own their lanes. Your job is not to replace them or become the strategy owner for every function. Your job is to build and enforce the operating system underneath everything — and to be the cadence and accountability partner who keeps strong leaders shipping.
One thing to know about authority here: it is real, and it is earned. You will ramp into full cadence and decision authority over your first 90 days as you learn how Bolt Farm operates — the wrong move is exercising authority before you understand the machine; the right move is earning trust fast and then using it.
What You'll OwnFounder leverage & intake filtering. Protect Seth's time and decision quality — route inbound, filter noise, prepare decision-ready briefs, and escalate only what truly needs founder judgment.
Decision throughput. Capture ideas from meetings, voice notes, and texts, and convert them into clear decisions with owners, deadlines, and definitions of done.
Executive operating rhythm. Run the weekly leadership cadence: sprints, MIT discipline, pre-reads, agendas, decision log, follow-up tracking, and accountability loops.
Cross-functional closure. Own the operating rhythm for major cross-functional work (projects over $25K or 40+ hours). Nothing gets stuck between departments on your watch.
BOLT FARM operating system. Build and maintain the systems that make execution repeatable: ClickUp structure, SOPs, templates, dashboards, Decision Log, Priority Stack, Kill List, and the internal knowledge base.
Founder canon. Codify Seth's thinking into reusable principles, decision rules, and SOPs so leaders never need the same explanation twice.
AI workflows & automation. Make AI the default for repeatable work. Identify high-frequency manual tasks, automate them, and maintain the workflows that save leadership time.
Leader accountability & coaching. Help functional leaders clarify priorities, tighten plans, surface blockers, and hit commitments independently. You are not their boss — you are their cadence partner.
Internal communication. Draft communications, recaps, and briefs with judgment, clarity, and the right level of founder voice.
This role has real authority, but the scope stays clean. You do not own brand voice or creative direction, pricing strategy, guest experience design, revenue levers owned by Revenue leadership, or department-level strategy that already has a functional owner. You close loops. You enforce clarity. You build the system. You don't take departments away from the people who own them.
How Success Is MeasuredIn your first 90 days:
Seth's calendar and attention meaningfully reclaimed for higher-leverage work
Decision Log, Priority Stack, and Kill List live and in use
Weekly sprint rhythm operating cleanly, with stalled initiatives moving again
Cross-functional work has owners, deadlines, and definitions of done
Ongoing:
30%+ of founder calendar reclaimed for high-leverage work
90%+ completion rate on company MITs (Most Important Tasks)
More decisions resolved without founder involvement; zero repeat explanations on codified topics
Top recurring manual workflows automated or systematized
Leaders consistently hitting commitments without founder rescue
Risks flagged and resolved before they become founder-level issues
Days 1–30 — Audit & install. Learn Seth's operating style, audit where his time goes, map the biggest execution leaks, and install v1 of the Decision Log, Priority Stack, Kill List, and leadership rhythm.
Days 31–90 — Tighten & ship. Move stalled initiatives forward, clean up ownership, eliminate repeat escalations, and optimize the founder calendar around highest-leverage work. Make the rhythm durable, codify recurring founder decisions, automate high-frequency manual work, and reduce the need for Seth to chase, clarify, or re-explain.

Able to travel regularly to Whitwell, TN for onsite leadership work and founder time
Prior Chief of Staff experience in a founder-led company
Helped scale a company from roughly $15M or less to $100M+ in revenue — you've lived the growth stage we're entering
Background in luxury hospitality, premium consumer brands, real estate, media, or experience-driven companies

Experience managing sensitive founder, investor, VIP, or executive communication
The single most important thing we are hiring for is relentless follow-through and fast execution. Deadlines mean something here — when they slip, there's a conversation, and it's handled well. You are the accountability partner who makes that true across the leadership team: part coach, part enforcer, and genuinely both. You look at a leader's plate, help them re-sequence, create bandwidth, and then hold them to their own commitments. Not a softy who only nurtures; not a hard-driver who only pushes. Both.
You're the person leaders trust when things are fast, unclear, and high-stakes. You're calm, direct, organized, and allergic to dropped balls. You can take a messy founder download and turn it into clean execution without everything spelled out. You don't need credit for every win — but people should leave meetings with you more energized than they arrived. You're numbers-driven: your track record reads like “took X from A to B in Z time.” You know when something needs a system, when it needs a decision, when it needs a person, and when it needs to die.
We hire against high integrity, high work ethic, high intelligence, high energy, and high intellectual curiosity — and our core values: Move Fast, All In, Best Is the Standard.
This is a demanding, founder-level seat where pace, judgment, responsiveness, and ownership matter. It is not a traditional Executive Assistant role, a pure project-management role, a strategy-only role, or a stepping-stone title. If you need perfect instructions before you act, or a corporate environment with heavy layers and slow approvals, this isn't your seat.
CompensationOn-target earnings: $200,000–$250,000+
Base salary: $156,000
Sign-on bonus: $10,000, paid quarterly over year one
Profit share: 1% of company profit, paid annually
Benefits & perks: Health stipend, free stays, and the chance to help build a category-defining hospitality brand
The base supports the seniority of the role. The profit share is the real upside — and it's designed to grow. Bolt Farm has made the Inc. 5000 list of America's fastest-growing companies two years running, and our villa inventory grew 50% going into 2026. On our current trajectory, the 1% profit share compounds year over year; we'll walk serious candidates through year-one, year-two, and year-three estimates anchored in our actual growth history. If you believe the future belongs to founder-led, high-growth companies, this is the upside you've been looking for.
Location & TravelHome-based hybrid with regular onsite time at Bolt Farm in Whitwell, TN. You don't need to live in Whitwell — but you do need to be within comfortable driving distance, roughly a four-hour radius: Chattanooga, Nashville, Atlanta, Knoxville, Birmingham, and the surrounding region. When you're onsite, you'll stay at the property — million-dollar views included. This is not a fly-in-quarterly role; you should expect meaningful, recurring time with Seth, the leadership team, and the property.
Why This Role MattersBOLT FARM is scaling from a high-performing flagship into a national portfolio. The next stage requires a cleaner operating system, stronger leader independence, fewer repeated decisions, and faster execution without chaos. The founder doesn't need more activity around him — he needs leverage. The company doesn't need more meetings — it needs decisions, owners, systems, and shipped work.
And for the operator who proves it, this seat is a launching pad: as Bolt Farm scales into a portfolio, the path to broader executive leadership is real.
If you are the person CEOs rely on when everything matters, this could be one of the highest-leverage roles of your career.
