Recruiting Coordinators at Included Health are a critical leverage point for the Talent Acquisition team. In this role, you will help keep a high-volume interview process organized, responsive, and running smoothly across candidates, recruiters, interviewers, hiring managers, and external partners.
This is not a light scheduling role. We are looking for someone who can support multiple recruiters and reqs at once, operate with urgency and precision, manage competing priorities, and create a consistently strong candidate experience in a fast-moving environment.
The right person for this role brings strong judgment, calm execution under pressure, and the ability to do more than just keep calendars moving. They can anticipate blockers, troubleshoot quickly, manage agency and vendor coordination, and use AI tools or automation to reduce manual work and scale their impact.
Responsibilities
- Own high-volume interview scheduling across phone, video, and virtual onsite interviews with speed, accuracy, and strong follow-through.
- Partner closely with recruiters, hiring managers, interviewers, candidates, and external agency partners to keep the process moving with professionalism and urgency.
- Manage scheduling logistics, resolve conflicts, and troubleshoot issues before they create delays or a poor candidate experience.
- Support multiple recruiters and active reqs at the same time without losing detail or momentum.
- Manage agency and vendor coordination end to end, including submissions, feedback loops, SLA tracking, and relationship health.
- Serve as a reliable point of contact across internal and external stakeholders, using clear communication and sound judgment when priorities compete.
- Maintain strong ATS and workflow hygiene and act as a dependable operator across recruiting systems and coordination processes.
- Help maintain templates, documentation, and operational workflows that improve team efficiency and consistency.

- You can balance candidate experience, recruiter needs, and agency relationships without losing momentum across any track.

Required qualifications
- 4+ years of experience in recruiting coordination, HR coordination, or a similar high-volume coordination role.
- Demonstrated experience supporting fast-paced, high-volume interview scheduling.
- Experience supporting multiple recruiters, stakeholders, or parallel workstreams at the same time.
- Strong written and verbal communication skills with candidates, interviewers, hiring managers, recruiters, and external partners.
- Strong attention to detail, follow-through, and sense of urgency.
- Ability to work independently, make sound decisions, and operate effectively in an ambiguous, fast-changing environment.
- Experience troubleshooting scheduling or coordination issues and bringing solutions forward proactively.
- Comfort working in recruiting systems and process workflows, ideally with ATS experience.
- Evidence of using AI tools, automation, templates, or smart workflows to improve speed, quality, or scale in coordination work.
- Experience managing or supporting staffing agency or vendor relationships.
- Experience with submissions tracking, feedback loops, SLA management, or external partner communication.
- Experience contributing to process improvement, documentation, training, or operational enablement work.
- Experience in remote, high-volume environments where prioritization and stakeholder communication are especially important.
