Administrative Assistant
Belvedere Trading, a leading proprietary trading firm in Chicago, is actively recruiting for an Administrative Assistant that will support both executive and director level leaders across multiple departments. The ideal candidate will have proven experience supporting multiple executives with extensive scheduling, email correspondence and project management. This position requires creative problem solving and strong attention to detail. Candidates should be accustomed to a fast-paced environment and possess an entrepreneurial mindset. The Administrative Assistant will manage multiple projects while holding colleagues accountable for deadlines, action items and to-dos.
This highly visible role will be committed to supporting the organization's leadership team in achieving greater levels of success with professionalism and discretion. This person will also collaborate with the Employee Experience team to properly execute firm-wide communication, events and meetings.
What you’ll do
· Manage and coordinate complex schedules consisting of meetings, events, and travel
· Anticipate needs of the management team and resolve operational and administrative issues before they arise
· Prepare presentations and materials for meetings and accurately record minutes
· Act as a proxy or representative for the leadership teams when they are unavailable
· Assist with event and activity planning and execution
· Compose and prepare correspondence and documentation as directed
· Gather, enter, and update data to maintain records and databases
· Review, organize, and respond to incoming/outgoing mail, email, and phone calls
· Manage and track expenses
· Willingness to run business and personal related errands as needed
· Handle highly confidential information with discretion
· Additional administrative projects and tasks
What you’ll need
· 2-5 years of administrative experience in a professional environment
· Bachelor’s degree strongly preferred
· Demonstrated ability to juggle multiple competing tasks and demands
· Ability to work independently, identify opportunities, and drive own workload
· Strong attention to detail with a high level of organizational skills
· Clear and professional written and verbal communication skills
· Ability to maintain strict confidentiality
· Proficiency in various software, including Microsoft Office
· Desire to stay current in office productivity technology tools
