Position Summary: The Early Career Program Coordinator plays a vital role in supporting the operations, logistics, and communication efforts across HUB’s early career initiatives, including the HUB Internship Program, the Grow with HUB Apprenticeship Program, and the 18-Month Early Career Associate Program. Reporting to the Senior Director of Early Career Programs, this role works closely with Program Managers to ensure seamless execution, strong participant engagement, and alignment with HUB’s early talent development goals.

Key Responsibilities: 

 

Program Coordination & Support

  • Assist Program Managers with the planning and execution of program timelines, deliverables, and events across all early career programs.
  • Coordinate day-to-day operations and administrative tasks including scheduling, communication, documentation, and data tracking.
  • Manage logistics for onboarding sessions, training workshops, speaker events, and intern/apprentice cohort meetings.
  • Serve as a primary contact for participant inquiries, providing timely support and information to interns, apprentices, and associates.

 

Recruitment & Talent Support

  • Support recruitment cycles by coordinating interview schedules, tracking candidate progress, and communicating with regional TA teams.
  • Maintain accurate records of applicant data, cohort assignments, and post-program conversion metrics in collaboration with Talent Acquisition and HR.
  • Help compile and distribute candidate and participant materials (e.g., orientation guides, development plans, program calendars). 

 

Stakeholder & Partner Engagement

  • Assist in coordinating outreach efforts with regional business leaders, educational institutions, and external partners to support program goals.
  • Collaborate with internal stakeholders such as HR, Culture & Belonging, Marketing, and Communications to promote program visibility and success stories. 

 

Communications & Branding

  • Draft and distribute program updates, newsletters, and internal communications to drive awareness and engagement.
  • Help develop marketing collateral and digital content in collaboration with the marketing team to support recruitment and employer branding efforts.
  • Collaborate with vendor partners to effectively use their platforms to boost early career talent engagement. 

 

Data Management & Reporting

  • Track program metrics such as engagement scores, feedback, attendance, and conversion outcomes to support continuous improvement.
  • Assist in compiling reports and presentation materials for leadership, stakeholders, and external partners. 

 

Qualifications & Experience:

  • Bachelor’s degree in Human Resources, Communications, Education, Business Administration, or a related field.
  • 2+ years of experience in program coordination, HR, campus recruiting, or early career talent initiatives.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook); experience with HRIS, or LMS systems is a plus.
  • Ability to build relationships across a variety of stakeholders and levels of the organization.
  • Passion for supporting early career professionals and contributing to talent development efforts. 

 

Preferred Qualifications:

  • Experience working in a fast-paced, matrixed environment.
  • Familiarity with internship, apprenticeship, or campus recruiting programs.
  • Background in the insurance or professional services industry is a plus.

  • Timely and accurate support of program operations and communications.

  • High satisfaction scores from participants and internal stakeholders.

  • Smooth coordination of recruitment and onboarding efforts.

  • Accurate and consistent tracking of program data and metrics.
