Position Summary

Leading Real Estate Companies of the World is seeking a detail-oriented, service-minded Events Specialist to support meetings, conferences, forums, and special events. This role manages registration, coordinates logistics and communications, supports vendors and venues, and helps deliver a smooth, professional attendee experience. This hybrid position is based out of our Chicago Loop headquarters. 

Key Responsibilities

Event Registration, Cvent Administration, and Event Technology

•Build, test, and maintain Cvent registration sites for meetings, conferences, forums, workshops, and special events.

•Manage registration data, attendee updates, event records, and related administrative details in Cvent and internal systems.

•Prepare registration, attendance, and post-event reports to support planning, logistics, and continuous improvement.

•Support event technology, including registration tools, mobile app or agenda tools, attendee communications, and related platforms.

•Use Cvent functionality to improve registration workflows, reporting, attendee experience, and internal efficiency.

Event Planning and Coordination

•Track event timelines, deadlines, deliverables, and planning milestones.

•Coordinate schedules, attendee lists, speaker or VIP needs, meeting materials, shipping, event documents, and internal updates.

•Prepare event information for internal use and member-facing communication channels.

•Maintain accurate event documentation for planning, reporting, and future reference.

Venue, Vendor, Catering, and Logistics Support

•Coordinate with hotels, venues, restaurants, caterers, vendors, and suppliers to support event execution.

•Manage menu selections, catering orders, dietary needs, banquet event orders, and onsite food and beverage coordination.

•Coordinate room setup, audiovisual needs, signage, materials, supplies, hotel room blocks, rooming lists, and special requests.

•Manage onsite registration and logistics during meetings and conferences.

•Identify and resolve event-day issues by communicating clearly with internal teammates, venue staff, vendors, attendees, and members.

•Ensure events are executed in accordance with high company standards.

Communication, Service, and Continuous Improvement

•Serve as a responsive point of contact for attendee, member, vendor, and internal event questions.

•Create clear event communications, registration instructions, reminders, logistical updates, and follow-up messages.

•Build effective working relationships with internal departments, members, vendors, hotels, restaurants, catering teams, and event partners.

•Collect and review attendee feedback, attendance statistics, and event outcomes.

•Prepare post-event reports, identify trends, document lessons learned, and support process improvements.

Working Conditions

•Standard office schedule with flexibility required during event deadlines, peak planning periods, and onsite execution.

•Travel will be required for company meetings, conferences, and events.

•Occasional evening or extended hours will be required during events or to meet project deadlines.

•May require sitting or standing for extended periods.

•May occasionally require packing, lifting, moving, or transporting event materials up to approximately 25 pounds, with reasonable accommodation made as appropriate.

•This hybrid position is based in the Chicago headquarters and combines in-office and remote work as determined by management. 

•The role involves regular use of computers and phones as well as participation in in-person and video meetings. 

•Flexibility and professionalism are expected to meet business needs.

Requirements

Background and Experience

•Bachelor’s degree in hospitality management, marketing, or a related field preferred; equivalent experience will be considered.

•Experience in event coordination, meeting planning, hospitality, customer service, administrative coordination, member services, or a related field preferred.

•Experience with event registration software preferred; Cvent experience is highly desirable.

•Proficiency with Microsoft Office and comfort learning business systems; HubSpot experience a plus.

•Interest in building a career in event planning and management required.

Salary and Company Benefits

Salary Range: $60,000 - $75,000
