Job Description

POSITION SUMMARY

The executive assistant provides high-level administrative support to company executives by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings and travel for executives.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Type reports, memos, letters and other documents using word relevant computer software.
  2. Prepares legal documents and communication; responds to requests for information.
  3. Act as a liaison between attorneys and executives.
  4. Answer phone calls and direct calls to appropriate parties or take messages.
  5. Record, type and distribute meeting minutes.
  6. Conduct research in areas of interest at the direction of the executives and provide a synopsis to the President to review.
  7. Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution.
  8. File and retrieve corporate documents, records and reports.
  9. Open, sort and distribute incoming correspondence, including faxes and email.
  10. Other duties as assigned.

SUPERVISORY RESPONSIBILITIES

  • This position has no supervisor responsibilities.

PHYSICAL DEMANDS / WORK ENVIRONMENT

  • Some access to filing is required. This would require the ability to lift files, open filing cabinets and bend, stoop, stand, reach, or kneel as necessary.
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machine.

    Qualifications

    EXPERIENCE AND EDUCATION

    • Bachelor’s Degree or Associate’s Degree and minimum of five (5) years of related work experience is required.
    • Three (3) to five (5) years of administrative experience required.
    • Previous invoice factoring and/or financial services experience a plus.
    • Intermediate to advanced skills in Microsoft Office Products: Excel, Word, Outlook, and PowerPoint.
    • Bilingual - Spanish/English – preferred
