Quartermaster is seeking a full-time Executive Administrator to play a crucial role in supporting our leadership team, ensuring the smooth operation of daily activities, and contributing to the overall success of the organization. The ideal candidate is an organized, proactive self-starter with exceptional communication and problem-solving skills, able to manage multiple tasks and prioritize effectively in a fast-paced environment. This position is hybrid, onsite in our Chicago office three days a week.

Duties and Responsibilities:

  • Provide comprehensive administrative support to the leadership team.
  • Manage calendars and coordinate meetings (often across timezones), ensuring efficient use of time and resources.
  • Prepare and organize materials for meetings, presentations, and reports.
  • Assist in preparing and editing correspondence, communications, and other documents.
  • Coordinate travel arrangements, accommodations, and itineraries.
  • Handle confidential information with discretion and professionalism.
  • Assist in managing internal and external communication, including emails and phone calls.
  • Conduct research and gather information as needed for various projects.
  • Support internal organization of files, meetings, and resources and help establish best practices inside the organization.
  • Collaborate with various teams to facilitate effective communication and workflow.
  • Undertake special projects and other duties as assigned.


Knowledge, Skills, and Abilities:

  • A Bachelor's degree or equivalent professional experience.
  • High level of organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in G-Suite applications and other relevant software.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Excellent attention to detail and accuracy.
  • Strong interpersonal skills and ability to work collaboratively in a team.
  • Resourceful problem solver with a proactive attitude.
  • Experience in executive support or related roles is a plus.
  • Interest in a career in one or a number of select industries including Hospitality, Branding, Marketing, and/or Beverage.
